Position Summary
My NYC Dentist is seeking a highly motivated, patient-focused Office Manager to lead operations, treatment planning, financial counseling, and case acceptance. This role serves as the key bridge between the clinical team and the patient, ensuring every patient fully understands their recommended care, feels confident in moving forward, and has a clear plan for both treatment sequencing and payment.
The Office Manager plays a critical role in practice growth and patient satisfaction. This position requires a balance of leadership skills, sales ability, empathy, organization, and dental/insurance knowledge.
1. Daily Operations & Scheduling
Patient Flow: Coordinating the daily schedule to minimize wait times and maximize provider productivity.
Meeting Leadership: Running the "Morning Huddle" to review goals, fill schedule gaps, and prepare for the day’s patients.
Inventory Control: Monitoring and ordering clinical and office supplies to prevent shortages.
Facility Management: Overseeing equipment maintenance and technical updates for office software.
2. Financial Management
Billing & Collections: Overseeing patient billing, processing insurance claims, and managing accounts receivable to ensure steady cash flow.
Financial Reporting: Preparing daily, weekly, and monthly reports on production, collections, and new patient acquisition for the practice owner.
Budgeting: Implementing and monitoring the office budget and managing payroll for all staff.
3. Human Resources & Leadership
Staffing: Recruiting, interviewing, hiring, and onboarding new administrative and clinical support staff.
Performance Management: Conducting employee evaluations, managing staff schedules, and handling disciplinary actions or conflict resolution.
Training: Organizing mandatory training for OSHA and HIPAA compliance, as well as ongoing professional development.
4. Patient Relations & Marketing
Treatment Coordination: Explaining complex treatment plans and financial arrangements to patients to increase case acceptance.
Conflict Resolution: Directly addressing patient complaints or billing disputes to maintain a positive practice reputation.
Marketing Oversight: Managing social media, website updates, and local community outreach to attract new patients.
5. Compliance & Security
Regulatory Adherence: Ensuring the practice stays current with federal, state, and local health regulations (e.g., CDC guidelines, radiation safety).
Records Management: Protecting patient privacy by maintaining secure, HIPAA-compliant digital and physical records.
Job Type: Full-time
Pay: $80,000.00 - $90,000.00 per year
