Responsibilities
- Greet visitors and clients warmly, ensuring a positive first impression of the organization
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately with professional phone etiquette
- Perform data entry, filing, and maintain accurate records using Microsoft Office and Google Workspace tools
- Support office management tasks such as calendar management, appointment scheduling, and document proofreading
- Handle incoming and outgoing correspondence, including emails and mail distribution
- Assist with bookkeeping duties using QuickBooks or similar accounting software when needed
- Provide customer support by addressing inquiries promptly and courteously, ensuring excellent service at all times
- Maintain the front desk area in an organized manner, ensuring supplies are stocked and the environment is welcoming
- Support clerical tasks such as photocopying, scanning, and organizing files for easy retrieval
- Collaborate with team members to streamline office procedures and improve overall efficiency
Experience
- Prior office experience or administrative support roles preferred; experience in medical or dental reception is a plus
- Proven ability to manage front desk responsibilities effectively in a busy environment
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry skills
- Excellent organizational skills with keen attention to detail for proofreading and filing tasks
- Bilingual fluency in Spanish and English is required to serve diverse client needs effectively
- Experience handling multi-line phone systems and practicing professional phone etiquette
- Familiarity with office management software such as QuickBooks or bookkeeping tools is advantageous
