Moore & Van Allen PLLC, a dynamic and fast-growing full-service law firm of more than 400 attorneys and professionals, is seeking a highly organized and professional Office & Legal Support Coordinator to join our Atlanta office. This is a dynamic, dual‑function role that blends office coordination (50%) with legal practice support (50%), ideal for someone who enjoys variety, takes pride in being the go‑to resource, and thrives in a fast‑paced legal environment.
You’ll play a critical role in keeping the office running smoothly while supporting attorneys with administrative and legal operations. Confidentiality, attention to detail, and strong communication skills are essential for success in this position.
What You’ll Do:
Office Coordination
- Serve as the primary administrative point of contact for the Atlanta office
- Greet clients and visitors; answer and direct incoming phone calls
- Oversee daily office operations, including supply ordering, vendor coordination, and building management communication
- Manage conference room scheduling, meeting logistics, and basic technology setup
- Handle mail, courier services, overnight and certified deliveries
- Maintain office organization, shared calendars, and administrative files
- Assist with onboarding logistics for new employees
- Support firm events, meetings, and internal initiatives
- Perform general administrative tasks such as scanning, filing, data entry, and expense support
Legal Practice Support
- Provide administrative support to multiple attorneys, primarily within the Finance and other practice teams
- Draft, format, revise, proofread, and finalize legal documents and correspondence using Microsoft Word and related tools
- Manage attorney calendars and schedule client meetings and appointments
- Open new matters, submit conflict checks, and assist with matter and file maintenance
- Organize and maintain electronic and physical client files in the document management system
- Assist with time entry, billing preparation, expense reports, and reimbursements
- Coordinate with internal teams (Records, Accounting, IT, Office Services) to support attorney and client needs
- Handle sensitive and confidential information with discretion and professionalism
What We’re Looking For:
Required:
- Associate’s degree in Business Administration or related field
- 2 years of administrative experience in a professional office environment
- Strong organizational skills with the ability to manage multiple priorities
- Excellent written and verbal communication skills
- High attention to detail and accuracy
- Proficiency in Microsoft Office (Word, Outlook, Excel)
- Ability to maintain confidentiality and exercise sound judgment
- Professional, client‑focused demeanor
- Ability to work independently and collaboratively in a small team
Preferred:
- Prior experience in a law firm or legal office
- Experience supporting attorneys or legal teams
- Familiarity with legal document formatting
Physical Requirements:
- The work is primarily sedentary.
- It requires the ability to communicate effectively using speech, vision, and hearing.
- The work requires the use of hands for simple grasping and fine manipulations.
- The work at times requires bending, squatting, and reaching, with the ability to lift, carry, push, or pull light weights.
