Job Summary
We are seeking a friendly, organized, and detail-oriented Medical Office Receptionist to join our team. As the first point of contact for our patients, you will play a crucial role in creating a welcoming environment and ensuring the smooth operation of our front office. The ideal candidate will have excellent communication and multitasking skills, and a commitment to providing exceptional patient care while maintaining patient confidentiality in compliance with HIPAA regulations.
Key Responsibilities
- Greet and assist all patients and visitors in a professional and empathetic manner, both in person and over the phone.
- Answer high-volume phone calls, schedule and reschedule appointments, and manage inquiries, directing calls to the appropriate staff members as needed.
- Check patients in and out for their appointments, verifying and updating patient demographic and insurance information in the Electronic Medical Records (EMR) system.
- Collect co-payments, deductibles, and outstanding balances at the time of service, and process payments accurately.
- Manage patient records and ensure the availability of treatment information by filing, retrieving, and scanning documents accurately and maintaining strict confidentiality.
- Obtain patient authorizations for medical record releases and manage the patient referral process.
- Maintain the reception and waiting areas to ensure a tidy, organized, and presentable environment.
- Assist medical staff with various administrative tasks, such as managing office supplies inventory and preparing charts for the next day's appointments.
- Perform other duties as assigned by management to support the overall clinic
Required Skills & Qualifications
- High school diploma or equivalent is required.
- Previous experience in a medical office or customer service role is highly preferred.
- Proficiency in computer software applications, including Google Workspace and EMR systems
- Strong verbal and written communication skills and excellent interpersonal skills.
- Ability to multitask, prioritize tasks effectively, and work well under pressure in a fast-paced environment.
- Knowledge of medical terminology and insurance billing procedures is an advantage.
- Demonstrated attention to detail, strong organizational skills, and a proactive, team-player mentality is a must.
- Commitment to maintaining patient confidentiality and adhering to all HIPAA regulations.
