Under the supervision of the Clinic Director and in conjunction with the Patient Care Manager, the Clerical Support Staff facilities the flow of patient needs and provides excellent guest services to patients, community partners, agencies and families. The Clerical Support Staff ensures that all issues are appropriately resolved or escalated.
Essential Duties and Responsibilities
- Performs standard work for the Clerical Support Staff as required, including but not limited to the following duties; Scheduling, Front Desk Registration, Pre-Registration and Medical Records.
- Responsible for utilizing EHR and Practice Management systems efficiently and with accuracy.
- Creates a welcoming environment.
- Maintains a neat and clean work area.
- Assists patients with general information, as well as directing them to the appropriate area.
- Performs data entry, create various logs, and compile information as needed
- Maintains a courteous, helpful and conscientious attitude in dealing with co-workers and patients and their families ensuring professionalism and confidentiality at all times.
- Responsible for entering and updating patient demographic and insurance information.
- Verifies insurance coverage utilizing several on-line verification systems.
- Photocopies insurance card(s) and identification card as needed.
- Familiar with various insurance companies and Health Maintenance Organization (HMA) guidelines.
- Assures that proper health maintenance and other forms are updated and/or signatures are obtained when needed.
- Cancel no show appointments, make proper notation, and follow up calls to reschedule.
- Answer incoming calls, prioritize calls, takes accurate messages and understands the use of the telephone system.
- Request and accept co-payment.
- Schedule patient appointments utilizing the proper time increments.
- Understands the criteria for scheduling same day appointments.
- Makes reminder calls to patients the day before their scheduled appointment.
- Completes proper request to submit to the LEP Coordinator to arrange interpreter services.
- Ensures that appropriate release documents are signed before medical records are copies, transferred or distributed.
- Scans medical record information into the electronic medical record system.
- Understands and complies with all HIPAA requirements.
- Regular and prompt attendance at work.
- All other duties assigned.

Education and Licensure
Education and Licensure
- High school Diploma or GED required.
- Customer service experience required.
- One year experience in a health care setting preferred.
- Computer and Medical Terminology experience preferred.
