Position Overview:
We are seeking a motivated Document Control Specialist to join our thriving Document Control team in our Fairfax, VA office. The Document Control Specialist is responsible for the incoming digital email/mail that the firm receives. This role is responsible for logging into the government portals to obtain the documents and uploading them to our platforms. This role must keep all inboxes organized and upload everything in a timely manner.
This is a full-time position based in Fairfax, VA, with the expectation of on-site presence five days a week for the first 90 days. The ability to work hybrid ( three days in office, two days remote) will be presented after the 90-day period.
Key Duties:
- Consistently checking ECAS, FOIA, and FAX inbox.
- Organizing inboxes by separating uploaded docs, codes, and unread emails.
- Logging into ECAS, USCIS, and any other portal to obtain documents.
- Uploading documents that come to our inboxes on Salesforce/SharePoint.
- Calendaring hearings, briefing schedules, etc.
- Making sure all mail logs on Salesforce are tagging the appropriate team.
- Creating chatter posts regarding FOIA results.
- Communicating with attorneys if any portal login credentials have changed and updating them in the sheet.
- Assist in file releases when needed.
- Provide Support with physical mail, front desk operations, or litigation inbox when needed.
- Other duties as assigned.
Qualifications:
- High School Diploma/GED
- Must be fluent in Spanish (reading, writing, speaking)
- Be detail-oriented and highly organized
- Able to understand and follow written and verbal instructions
- Able to work in a fast-paced environment
- Excellent communication skills
Preferred qualifications:
- Bachelor's/associate's degree
- Experience using Salesforce and Microsoft 365
