What are the responsibilities and job description for the Facilities Manager position at MULTIVAC USA?
Summary: Lead strategic and operational oversight of high-end facilities, ensuring optimal performance, aesthetics, and compliance across all building and systems environments. Drive excellence in space utilization, capital project execution, and budget stewardship to support a world-class customer and employee experience.
Time Utilization: Normal business hours are 8:00am to 5:00pm. Schedule needs to be flexible to accommodate internal schedules, on-call emergency situations that require after hours, or weekend support may be required. Travel both domestic and international up to 5% may be required.
Essential Duties and Responsibilities include the following. Other duties may be assigned:
- Lead long-term space planning initiatives, including occupancy forecasting, layout optimization, and workplace design aligned with organizational growth and employee experience goals.
- Oversee large-scale facilities projects from concept to completion, including renovations, expansions, and infrastructure upgrades. Manage scope, timelines, vendor performance, and change orders.
- Develop and manage facilities budgets, including capital expenditures, operating costs, and vendor contracts. Ensure financial accountability through forecasting, variance analysis, and monthly reporting to leadership.
- Negotiate and manage service contracts with vendors and contractors. Ensure performance standards, SLAs, and compliance with safety and environmental regulations.
- Champion the use of smart building technologies, energy management systems, and digital tools to enhance operational efficiency and sustainability.
- Present facilities performance metrics, project updates, and strategic recommendations to leadership on a regular cadence.
- Coordinate and oversee installations, inspections, repairs, troubleshooting and daily maintenance of buildings, infrastructure, and facility equipment.
- Ensure routine inspections of the facility to identify maintenance issues and coordinate necessary repairs.
- Manage all facilities requests from associates to ensure quick response and resolution.
- Maintain facilities in excellent condition to comply with environmental, health, and safety policies, and present professional appearance.
- Coordinate building security services, including visitor management and badge access.
- Oversee office moves, space planning, and furniture coordination.
- Coordinate café operations with 3rd party operating company.
- Assist and advise on facility usage for events, maintaining a facilities calendar.
- Ensure building drawings are updated to reflect latest changes in square footage and infrastructure.

Bachelor’s degree in Facilities Management, Engineering, Architecture, or related field and ten years related experience; or equivalent combination of education and experience. Minimum of 5 years of progressive experience managing high-end corporate or industrial facilities. Proven track record in space planning, capital project execution, and budget management. Experience with smart building systems and sustainability initiatives is highly desirable.
