What are the responsibilities and job description for the International Freight Administrator position at MULTIVAC USA?

Summary:  The International Freight Administrator is responsible for supporting global logistics operations, ensuring compliance, accurate documentation, efficiency, and accuracy in the movement of goods
 
Time Utilization:  This position will travel up to 5% of the time.  Normal business hours are 8:00am to 5:00pm.  Schedule needs to be flexible to accommodate sales team and customer schedules.
 
Essential Duties and Responsibilities include the following.  Other duties may be assigned:
 
  • Preparation of necessary import/export paperwork and files (commercial invoices, bills of lading, certificates of origin, etc.) for parts, consumables and machinery shipments
  • Review and assign HTS Classification codes for newly expanded parts
  • Verify and approve freight invoices and forward to Order Processor for billing and payment as well as ensuring carriers are invoicing timely
  • Request post summary corrections when errors are found and track to ensure resolution
  • Maintain organized records in accordance with compliance requirements
  • Initiate international freight insurance claims when necessary and monitor to timely conclusion
  • Remain current on international transportation rules and regulations; and seek appropriate training when necessary
  • Monitor daily freight forwarder report and status of daily shipments, air and ocean.  Nurture and improve our vital and ongoing relationship with our corporate freight forwarder(s) and communicate regular updates with internal and external customers.  Follow-up on and own the resolution of freight related issues
  • Utilize SAP, Order Tracking and other tools internal and external to MULTIVAC to facilitate efficient communication of information; and the smooth transportation of equipment and parts to their destination.
  • Serve as back-up to our international freight coordinator which is the liaison to our International Freight Forwarder and our suppliers to ensure the proper and timely routing of our inbound and outbound shipments (including drop shipments).  This includes:
    • Planning the coordination of freight pick-up/container loading
    • Shipping requirements/deadlines/transportation service requirements
    • Monitor progress of shipments, Customs clearance, etc.
    • Coordinate delivery appointments and appropriate inland routings
  • Work with our parent and sister company suppliers to improve the processing and routing of shipments.

Education/Experience: High school diploma and one year of Import/Export experience (process knowledge, Customs requirements, product classification requirements and documentation requirements) and freight forwarding/traffic experience required.  Bachelor's degree in business, supply chain management, or related field preferred.
Language Ability: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or associates of organization.
Math Ability: Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
Computer Skills: To perform this job successfully, an individual should have knowledge of Word Processing software; Spreadsheet software; Order processing systems; Internet software; ERP systems; Database software and Contact Management systems.
Certificates and Licenses: Current valid driver’s license and the ability to obtain a passport for travel as required by position.
Supervisory Responsibilities: This job has no supervisory responsibilities.
