Contracts Specialist

Mullins Mechanical is a leader in industrial and large commercial mechanical, plumbing, HVAC construction projects. Our projects are often in industrial and manufacturing environments, such as manufacturing facilities, automotive plants, chemical plants, distribution centers, warehouses, and other large commercial facilities. We are a self-performing specialty contractor specializing in design-built applications, HVAC systems, plumbing, process piping systems, boiler and chiller systems, equipment installation and rigging, plant relocation and maintenance, and metal fabrication.

Responsibilities:

  • Administer contracts and subcontracts for multiple mechanical, plumbing, process piping, and systems construction projects simultaneously.
  • Review, draft, negotiate, and manage subcontract agreements, vendor contracts, and other agreements
  • Support Project Managers and Operations teams in evaluating contractual obligations, risks, and compliance requirements.
  • Ensure subcontractors, vendors, and suppliers meet contractual requirements, insurance requirements, bonding requirements, and project-specific compliance standards.
  • Maintain contract logs, subcontract registers, and procurement tracking reports.
  • Manage contract modifications and amendments.
  • Collaborate with Project Managers, Project Executives, Procurement, and accounting teams to ensure contract requirements align with project execution plans.
  • Assist project teams in interpreting contract language and resolving contractual issues.
  • Support procurement efforts for major mechanical equipment, plumbing systems, process piping materials, prefabrication services, and specialty systems.
  • Coordinate subcontractor onboarding, documentation collection, and compliance verification.
  • Monitor and document subcontractor performance and compliance with contractual obligations throughout project execution.
  • Identify and communicate contractual risks associated with project scope, schedule, cost, procurement, and subcontractor performance.
  • Ensure compliance with owner contracts, prime contracts, subcontract agreements, and company policies.
  • Coordinate with legal counsel, risk management, and executive leadership on complex contract matters.
  • Monitor insurance certificates, bonds, licensing requirements, and vendor compliance documentation.
  • Support contract administration activities related to commissioning, startup, turnover, and warranty phases.
  • Maintain complete and accurate contract files and project documentation.
  • Generate reports related to contract status, subcontractor compliance, procurement activities, and risk management.
  • Support project closeout activities, including final contract reconciliation, release documentation, and warranty tracking.
  • Identify opportunities to improve contract administration procedures, controls, and documentation standards.
  • Additional responsibilities may be assigned as needed.

Qualifications:

  • Business Administration, Engineering, Legal Studies, or a related field preferred.
  • Minimum 3 years of contract administration or subcontract management experience within mechanical, plumbing, process piping, industrial, or commercial construction.
  • Experience supporting multimillion-dollar construction projects preferred.
  • Working knowledge of construction contracting methods, procurement processes, and subcontract administration practices.
  • Familiarity with AIA, Consensus, EPC, Design-Build, and GMP contract structures.
  • Experience with ERP and construction management platforms such as Procore, TradeTapp, Autodesk Construction Cloud, or similar systems.
  • Ability to interpret construction drawings, specifications, scopes of work, and contract documents.
  • Understanding of change management, contract negotiations, claims avoidance, and risk management principles.
  • Familiarity with fabrication, equipment procurement, commissioning, startup, and project closeout requirements.
  • Knowledge of insurance requirements, bonds, lien waivers, and subcontractor compliance procedures.
  • Strong organizational and document management skills with the ability to support multiple projects simultaneously.
  • Excellent communication, negotiation, and problem-solving abilities.
  • Proficiency with Microsoft Office Suite and construction management software platforms.
  • Ability to work effectively with project teams, field personnel, subcontractors, suppliers, clients, and executive leadership.
  • Professional certifications such as CPCM, CCCM, PMP, or equivalent are preferred but not required.
