Job Summary
The Fleet Maintenance Coordinator serves as the primary point of contact between drivers, technicians, and fleet leadership. This role oversees the full lifecycle of vehicle maintenance work orders—from initial service request through repair completion and billing—ensuring repairs are completed safely, accurately, and with minimal downtime. The ideal candidate is organized, customer‑focused, and experienced in automotive or fleet maintenance environments.
Key Responsibilities
- Open, manage, and close maintenance and repair work orders in a fleet management system (e.g., Fleetio, M5)
- Receive and document vehicle issues from drivers and internal customers
- Coordinate repair priorities and assign work to appropriate technicians
- Schedule preventative maintenance, inspections, and required services
- Develop repair estimates and obtain approval for labor, parts, and materials
- Communicate repair status, delays, and additional repair needs to drivers and managers
- Coordinate with parts personnel to ensure timely availability of parts
- Maintain accurate maintenance records, repair histories, and documentation
- Process warranty claims and ensure regulatory and safety compliance
- Perform quality checks and ensure all issues are resolved prior to vehicle release
- Close repair orders with accurate labor, parts, and billing information
Qualifications
- High school diploma or equivalent required
- 3–5 years of experience in automotive service, fleet maintenance, or a related role
- Strong understanding of automotive repair and maintenance processes
- Experience using fleet or maintenance management software
- Excellent verbal and written communication skills
- Strong customer service skills with the ability to work in a fast‑paced environment
- Highly organized with strong attention to detail
Preferred Skills
- Experience in a fleet, municipal, oilfield, or heavy‑equipment environment
- Knowledge of warranty administration and compliance requirements
- Ability to prioritize tasks and manage multiple work orders simultaneously
