Sourcing and Quoting Specialist

POSITION SUMMARY
The Quoting & Sourcing Specialist plays a pivotal role in the sales and procurement processes by ensuring the accurate and timely preparation of customer quotations while working with current and new suppliers pertaining to our company’s standard and ever evolving assortment. This role involves analyzing Requests for Quotes (RFQs), identifying exact part number matches, comparable items based on part numbers, descriptions, or technical specifications, and compiling quotations that meet both technical and commercial requirements. Specialists in this role will collaborate closely with the sales and sourcing teams to ensure all quoted materials are accurate, available, and aligned with customer needs. 

ESSENTIAL DUTIES AND RESPONSIBILITIES

• Review Requests for Quotations (RFQs) and customer inquiries to prepare accurate and competitive quotes.
• Utilize internal and external databases and platforms to cross-reference part numbers and descriptions, identifying equivalent or substitute products when necessary.
• Cross-Reference SAP items and new items from existing vendors offering comparables when appropriate and only passing along new vendor items for the sourcing team to complete.
• Accurately input items, pricing, and relevant details into the quoting system to generate formal quotations.
• Collaborate with Cross functionally to align strategic vendor offering and best practices for sourcing from existing vendors.
• Complete pricing for quotations based on target margin goals provided by Sales team.
• Collaborate with pricing team on customer RFQs ensuring alignment with best pricing practices and margin and profitability goals.
• Work closely with Sales to align quotation details and pricing strategies.
• Monitor quote deadlines and prioritize workload to ensure timely submission of quotes.
• Provide regular status updates on progress for all open RFQs.
• Provide quote summary including pricing details and highlighting # exact, comparable, and no bid items.
• Handle post-quote clarifications, amendments, or updates to quotes as required by the customer or internal teams.
• Regularly update and maintain the cross-reference database, ensuring accurate documentation of part numbers and alternative products.
• Identify opportunities to improve quoting efficiency and accuracy, providing input on system updates, process optimizations, and tool enhancements

REQUIRED QUALIFICATIONS

• Minimum of 1-3 years of experience in a quoting or sales support role, preferably in a technical or industrial environment.
• Experience in cross-referencing part numbers, understanding technical specifications, and preparing customer quotations.
• Strong working knowledge of internal databases, quoting systems, and pricing strategies is a plus.
• Ability to interpret and analyze RFQs and other customer inquiries effectively.
• Excellent interpersonal and communication skills, both written and verbal, with the ability to collaborate effectively across departments.
• Strong organizational and time-management skills to meet tight deadlines and manage multiple RFQs simultaneously.
• Ability to work effectively within a team, contributing to process improvements and communicating quote details clearly with sales and sourcing teams.
• A commitment to providing accurate and timely information to ensure customer satisfaction and support the sales process.
• Strong attention to detail with the ability to manage multiple tasks and projects simultaneously.
• Proactive and results-oriented, with a focus on driving efficiency and revenue.

Prefer someone with at least 1-2 years of sourcing/quoting background but will consider applicants with the aptitude and attitude to learn.  We will train on all aspects of the role.  

Starting Pay: $21.00/hour

Schedule: M-F 40hrs, 8:00am-5:00pm (central time) 

Pay is based on several factors which vary based on position. These include labor markets and, in some instances, may include education, skills, work experience and certifications. You may also be eligible to participate in an annual incentive bonus. An incentive bonus, if any, depends on various factors such as organizational performance.
