Role Overview
The Disclosure Specialist is responsible for reviewing new loan applications, verifying documentation, and preparing accurate initial disclosures in accordance with company policies and federal and state regulations. This position also manages Notice of Incomplete Application and Notice of Action processes while ensuring files are complete and ready for underwriting.
This role is ideal for a detail-oriented professional who enjoys problem-solving, maintaining compliance, and collaborating with Loan Officers and internal business partners to keep loans moving efficiently.
Essential Functions
Loan Review & Disclosure Preparation
- Review incoming loan applications for completeness, accuracy, and compliance
- Generate initial disclosures within required regulatory timeframes
- Review borrower documentation to confirm minimum submission requirements
- Perform quality audits on loan applications prior to underwriting submission
- Prepare loan files for initial underwriting review
Compliance & Regulatory Support
- Ensure compliance with RESPA, TRID, Dodd-Frank, HMDA, and company policies
- Review Uniform Residential Loan Applications (URLA/1003), Form 1008, and supporting borrower documentation
- Identify and process Changes of Circumstance by reviewing lock reports and system alerts
- Maintain strict confidentiality of borrower financial information
- Ensure all work is completed in accordance with company guidelines and regulatory requirements
Communication & File Management
- Communicate loan application deficiencies to Loan Officers and business partners
- Manage Notice of Incomplete Application Notifications and Action Notices
- Notify applicable parties of missing documentation or required corrections
- Monitor receipt of required documentation needed for underwriting submission
- Partner with Loan Officers, Account Executives, and internal teams to resolve file issues and maintain production timelines
Knowledge, Skills, and Abilities
- Strong understanding of mortgage loan applications, credit reports, and disclosure requirements
- Working knowledge of RESPA, TRID, Dodd-Frank, HMDA, and mortgage compliance regulations
- Excellent verbal and written communication skills
- Strong organizational skills with exceptional attention to detail
- Ability to prioritize multiple files while meeting strict regulatory deadlines
- Strong analytical and problem-solving abilities
- Customer-focused mindset with excellent interpersonal skills
- Proficiency with Microsoft Office and web-based mortgage applications
- Self-motivated with the ability to work independently and collaboratively within a team environment
Qualifications & Experience
- High school diploma or equivalent required
- Minimum of one (1) year of mortgage industry experience preferred
- Experience with mortgage disclosures, loan processing, or mortgage compliance preferred
- Knowledge of mortgage documentation and loan application review processes preferred
