Mopec is currently searching for a Document Control Specialist. This is an “onsite or remote” position and will be based at our Madison Heights, MI Location

About the Role:

The Document Control Specialist plays a critical role in managing and maintaining the integrity of all organizational documents to ensure accuracy, accessibility, and compliance with quality and regulatory standards. This position is responsible for overseeing the entire document lifecycle, including creation, revision, distribution, and archiving, to support operational efficiency and quality assurance. The specialist collaborates closely with various departments to implement document control procedures and ensure that all documentation meets company policies and industry regulations. By maintaining a robust document control system, this role helps mitigate risks associated with document mismanagement and supports audit readiness. Ultimately, the Document Control Specialist ensures that all project and operational documentation is reliable, up-to-date, and readily available to authorized personnel across the organization.

Minimum Qualifications:

  • High school diploma or equivalent; Associate’s or Bachelor’s degree in Business Administration, Information Management, or related field preferred.
  • Minimum of 2 years of experience in document control or records management, preferably within a regulated industry.
  • Proficiency with document management software and Microsoft Office Suite.
  • Strong understanding of document control standards and regulatory compliance requirements.
  • Excellent organizational skills with keen attention to detail.
  • Experience with Sharepoint preferred

Preferred Qualifications:

  • Certification in Document Control (e.g., AIIM Certified Information Professional or equivalent).
  • Experience working in industries such as manufacturing, engineering, construction, or pharmaceuticals.
  • Familiarity with quality management systems such as ISO 9001.
  • Knowledge of electronic document management systems (EDMS) and workflow automation tools.
  • Strong communication skills to effectively collaborate with cross-functional teams.

Responsibilities:

  • Develop, implement, and maintain document control procedures and systems in accordance with company standards and regulatory requirements.
  • Review, organize, and manage incoming and outgoing documents, ensuring proper classification, indexing, and storage.
  • Coordinate with project teams and departments to collect, update, and distribute controlled documents in a timely manner.
  • Monitor document revisions and maintain version control to ensure that only the latest approved documents are in circulation.
  • Prepare and support internal and external audits by providing accurate documentation and records as required.
  • Train and assist staff on document control processes and software tools to promote compliance and efficiency.
  • Maintain confidentiality and security of sensitive documents and ensure compliance with data protection policies.

The Documentation Control Specialist utilizes organizational and analytical skills daily to manage large volumes of documents accurately and efficiently. Proficiency in document management software enables the specialist to implement version control and ensure document integrity throughout the lifecycle. Attention to detail is critical when reviewing documents for compliance and completeness, preventing errors that could impact operations or audits. Communication skills are essential for coordinating with various departments and training staff on document control procedures. Additionally, knowledge of regulatory standards and quality management systems guides the specialist in maintaining compliance and supporting continuous improvement initiatives

Salary : $50,000 - $75,000
