SUMMARY

Mountain West Motor Hyde Park is seeking a reliable and detail-focused Title & Deal Processing Specialist to join our accounting and administrative team. In this role, you will be responsible for the accurate and timely processing of vehicle titles and deal documentation across multiple retail locations. You will serve as a critical link between our dealership operations, state agencies, lenders, and customers — ensuring every transaction is properly documented, funded, and closed.

Experience in automotive titling is strongly preferred. If you have worked in a dealership title department, a DMV or MVD office, or a similar role handling vehicle ownership documentation, we want to hear from you.

This is a full-time nonexempt role, with a pay range of $22 - $27 per hour. The expected work schedule is 8 AM to 5 PM.

DUTIES & RESPONSIBILITIES

  • Process vehicle title transfers for imported vehicles, and. new and used vehicle sales, including out-of-state and trade-in titles.
  • Prepare and submit title applications, lien releases, duplicate title requests, and MVD/DMV paperwork.
  • Assemble and audit deal jackets to ensure all required documentation is present and accurate prior booking.
  • Track payoff checks on trade-ins and follow up with lenders to obtain titles in a timely manner.
  • Coordinate with Finance & Insurance (F&I), Sales, and Accounting teams to resolve documentation errors or missing items.
  • Process aftermarket product documentation including warranties, GAP, and protection packages.
  • Maintain accurate deal records within the DMS and document management systems.
  • Communicate with customers as needed to provide status updates, obtain signatures, powers of attorney, or other title-related documentation.
  • Support compliance efforts including OFAC checks, odometer disclosure accuracy, and Red Flag Rule requirements.
  • Assist with auction titles, fleet transactions, and other non-retail titling needs as assigned.

QUALIFICATIONS & REQUIREMENTS

  • Prior experience in automotive titling, deal processing, or a related DMV/MVD role is strongly preferred.
  • Familiarity with DealerTrack, Reynolds & Reynolds, or a similar Dealer Management System (DMS) is a plus.
  • Strong attention to detail — you catch errors before they become problems.
  • Ability to manage a high volume of deals and titles simultaneously while meeting deadlines.
  • Working knowledge of Utah and/or Idaho vehicle title requirements is advantageous.
  • Comfortable communicating via phone and email with lenders, state agencies, and customers.
  • Proficient with standard productivity software including word processing, spreadsheets, and email.
  • Organized, dependable, and able to work independently with minimal supervision.
  • High school diploma or equivalent required; associate degree or higher in a related field is a plus.
