This is a part-time position that supports the Talent Acquisition team by reducing administrative burden and improving operational efficiency across candidate logistics, sourcing, and Early Talent Program coordination. Due to proven experience in talent acquisition, this position directly contributes to recruitment efforts for hourly professional, intern, trainee, and professional-level roles. Key duties include booking candidate travel, managing interview schedules and housing logistics, tracking career fair activity, and coordinating Day 1 onboarding communications. The position also assists with proactive sourcing and pre-screening for hard-to-fill roles, ensuring continuity, accuracy, and consistent delivery across all Talent Acquisition processes.

Major Duties & Responsibilities
- Streamline and automate routine administrative tasks to reduce manual workload. Maintain organized scheduling systems for interviews, recruiter calendars and hiring events. Manage and archive candidate documentation, requisition files and compliance records.
- Arrange candidate travel, lodging and interview schedules across multiple locations. Coordinate Day 1 onboarding logistics including housing setup, orientation materials and Early Talent Program communications. Serve as point-of-contact for candidate itinerary changes and urgent logistics issues.
- Conduct proactive outreach using job boards, resume databases and social platforms. Execute initial candidate screening based on predefined criteria and role requirements. Maintain sourcing activity logs and candidate pipelines for recruiter review.
- Track and report Talent Acquisition key performance indicators (KPIs) including time-to-fill, candidate conversion rates and sourcing channel effectiveness. Identify inefficiencies in scheduling, logistics and documentation workflows; recommend and implement process improvements. Ensure consistency and accuracy in event planning, interview coordination and candidate communications.
- Associate degree preferred.
- 3 or more years' relevant experience in an administrative support role, preferably in a Talent Acquisition or Human Resources environment.
- Experience with candidate logistics across multiple locations or business units.
- Exposure to Early Talent Programs or campus recruiting is a plus, but not required.
- Prior involvement in process improvement or reporting projects is preferred.
- This is a part-time position requiring someone with hands-on talent acquisition experience.
- Ability to maintain organized records and ensure documentation accuracy.
- Clear written and verbal communication for candidate interaction and internal coordination.
- Experience with applicant tracking systems, Microsoft Office Suite and virtual meeting platforms.
- Ability to compile and interpret basic KPIs; familiarity with Excel formulas and reporting tools.
- Familiarity with resume databases and job boards for candidate sourcing.
