Duties
- Greet visitors and clients at the front desk with professionalism and warmth, ensuring a positive first impression
- Manage multi-line phone systems, screen calls, take messages, and direct inquiries appropriately
- Handle data entry, filing, and document proofreading to maintain accurate records and correspondence
- Assist with calendar management, scheduling appointments, meetings, and coordinating office events
- Support bookkeeping tasks using QuickBooks or similar accounting software for invoicing and expense tracking
- Maintain office supplies inventory, order necessary materials, and organize workspaces for efficiency
- Provide exceptional customer support by addressing inquiries promptly via phone or email while practicing proper phone etiquette
- Utilize Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools to prepare reports, presentations, and correspondence
- Support office management activities including organizing files, managing incoming mail, and ensuring compliance with company policies
- Assist with clerical duties such as photocopying, scanning documents, and proofreading materials to ensure accuracy
Qualifications
- Proven experience in an office environment with strong clerical skills and organizational abilities
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Familiarity with QuickBooks or other bookkeeping software is highly desirable
- Excellent communication skills to serve clients effectively
- Strong computer literacy with the ability to learn new software quickly
- Experience with professional phone etiquette
- Demonstrated ability to handle data entry accurately while maintaining attention to detail
- Exceptional organizational skills with the ability to prioritize tasks efficiently and manage time effectively
- Personal assistant experience or background in office management is advantageous
