Position Summary
The School Bookkeeper is responsible for managing the financial operations of the school in accordance with Macon County Schools policies, the North Carolina School Accounting System (NCSAS), and applicable state and local regulations. This position ensures accurate recordkeeping, proper handling of funds, and compliance with all financial procedures while supporting the daily operations of the school.
Essential Duties and Responsibilities
- Maintain accurate financial records for all school funds, including local, state, and federal accounts
- Process receipts, deposits, and disbursements in accordance with NCSAS and district guidelines
- Manage cash handling procedures, including collection, verification, and deposit of funds
- Reconcile bank statements and financial records on a regular basis
- Prepare and maintain monthly financial reports and submit required documentation to the district finance office
- Monitor account balances and ensure expenditures align with approved budgets
- Process purchase orders, invoices, and payments in compliance with district and state purchasing procedures
- Maintain documentation for audits and ensure readiness for internal and external reviews
- Track and manage school activity funds, including clubs, athletics, and student organizations
- Ensure proper documentation and approval for all transactions
- Provide financial information and support to the principal and school staff for decision-making
- Assist with budget preparation and monitoring at the school level
- Maintain confidentiality of financial and personnel information
- Ensure compliance with all local, state, and federal financial regulations
- Utilize financial software and systems required by the district and state (e.g., accounting and reporting systems)
- Communicate effectively with school staff, district personnel, and vendors
- Follow all Macon County Schools policies, procedures, and expectations
- Demonstrate professionalism, accuracy, and attention to detail
- Perform other duties as assigned by the principal or finance department
Knowledge, Skills, and Abilities
- Knowledge of basic accounting principles and financial recordkeeping
- Familiarity with the North Carolina School Accounting System (NCSAS) or similar systems preferred
- Strong attention to detail and accuracy
- Ability to manage multiple tasks and meet deadlines
- Strong organizational and record-keeping skills
- Ability to maintain confidentiality and handle sensitive information
- Effective communication and interpersonal skills
- Proficiency in computer applications (e.g., spreadsheets, financial software, word processing)
Physical Requirements
- Light work classification
- Ability to sit for extended periods and work at a computer
- Occasional lifting of files, records, or materials (up to 25 pounds)
Evaluation
- Performance will be evaluated in accordance with Macon County Schools evaluation procedures
Terms of Employment
- Full-time, 10-month or 12-month position (based on assignment)
- Salary based on Macon County Schools salary schedule
- Work calendar determined by the district

Minimum Qualifications
