The Office Administrator is the "heartbeat" of our office. You are the first face patients see and the primary person ensuring their journey in the office is seamless, professional, and welcoming. This role combines high-level customer service with organized administrative support.

Primary Responsibilities

  • Patient Coordination: Greet patients warmly, manage the check-in/check-out process, and schedule follow-up appointments to ensure care plan compliance.
  • Communication Hub: Manage multi-line phones, respond to emails, and handle patient inquiries with empathy and clarity.
  • Financial Oversight: Facilitate the financial agreements with our patients before they see the doctor, collect payments, balance the daily collection and prepare the deposit.
  • Office Flow: Maintain a tidy reception area and assist the Chiropractor in keeping the daily schedule on track.
  • Records Management: Maintain accurate spreadsheets for nutritional testing while ensuring strict adherence to HIPAA privacy regulations.
  • Nutritional Stock Management: Purchase and stock nutritional supplements in our office.

Required Skills & Qualifications

  • The "People" Factor: Exceptional interpersonal skills and a genuine desire to help people feel good and get well.
  • Organizational Mastery: Ability to multitask in a fast-paced environment without losing track of the details.
  • Tech Savvy: Proficiency with basic office software (Microsoft Office/Google Workspace) and a quick learner for specialized scheduling & EHR software.
  • Professionalism: Dependable, punctual, and capable of handling sensitive patient information with discretion.

Preferred Experience

  • Previous experience in a chiropractic or wellness office environment.
  • Sales experience and growth mindset is preferred.
  • Familiarity with Chiropractic philosophy and terminology is a plus!
