Position Summary
The Administrative Assistant serves as a professional ambassador for Mountain Lake while providing comprehensive administrative support to the Executive and Administrative Offices. This highly organized, guest-focused professional is responsible for ensuring the efficient daily operation of the administrative offices by managing communications, calendars, correspondence, office systems, and administrative projects.
This position frequently interacts with resort guests, vendors, community partners, wedding clients, group planners, and associates, requiring exceptional hospitality, professionalism, confidentiality, and attention to detail.
Administrative Support
· Provide administrative support for the General Manager and The Executive Team.
· Prepare reports, letters, spreadsheets, presentations, agendas, and memorandums.
· Maintain confidential business and personnel records.
· Coordinate meetings, calendars, filing systems, office supplies, and mail.
Guest & Visitor Relations
· Welcome guests, vendors, applicants, contractors, and community partners.
· Provide exceptional service in person and by telephone.
· Assist VIP arrivals and direct visitors appropriately.
Telephone & Communications
· Operate a multi-line telephone system.
· Route calls, take accurate messages, and respond professionally to inquiries.
· Support internal communications.
Office Technology
· Maintain proficiency with Microsoft Office, Adobe Acrobat, office equipment, and Opera PMS (preferred).
Qualifications
· High School Diploma or GED.
· Minimum two years administrative experience.
· Experience with multi-line phone systems and Microsoft Office.
· Strong organizational skills, critical thinking, professionalism, attendance, confidentiality, and customer service.
· Hospitality and Opera PMS experience preferred.
