Mt. Abraham Union Middle/High School seeks a highly organized, detail-oriented Administrative Assistant to the Principal. The Administrative Assistant plays a key role in ensuring the smooth and efficient operation of the school. This position provides high-level administrative, organizational, and communication support to the Principal and serves as a central point of contact for staff, students, families, and community members.
The ideal candidate is professional, discreet, detail-oriented, and able to manage multiple priorities in a dynamic school environment.Administrative and Executive Support Provide direct, confidential administrative support to the Principal, including scheduling, correspondence, report preparation, and record management. Serve as a liaison between the Principal, faculty, students, families, and community members to ensure clear, timely communication. Maintain confidentiality and exercise sound judgment in handling sensitive information and personnel matters. Prepare and distribute agendas, meeting minutes, announcements, and other internal or external communications.Front Office and Operations Support daily main office operations, including answering calls, greeting visitors, and managing the secure entry process.
Foster a welcoming, professional atmosphere for students, families, and community members. Assist with student attendance and recordkeeping as needed to support school operations.Finance and Purchasing Manage purchase orders, invoices, and office supply procurement, ensuring compliance with district purchasing procedures. Oversee student activity accounts, including deposits, check requests, reconciliations, and accurate financial recordkeeping. Track expenditures and prepare financial reports as requested by school leadership.Human Resources Support Assist with HR processes such as staff hiring and processing timesheets.
Maintain accurate staff and certification records. Support onboarding of new employees and coordination of substitute coverage when necessary. Process volunteer and driver documentation, including background checks, certifications, and required approvals to ensure compliance with district and state requirements.Professional Development and Compliance Process and track professional development requests, in-service hours, and workshop attendance. Maintain compliance-related documentation for staff training and development activities.Communications and Public Relations Create and distribute the monthly school newsletter and other school-wide communications.
Maintain and update the school website, Google Groups, and social media accounts to share news, updates, and event information. Assist in the preparation of communication materials for presentations, events, and community outreach.School and Community Events Support coordination and logistics for school and community events, ensuring smooth planning and communication. Collaborate with staff and leadership to facilitate inclusive and engaging experiences for students, families, and partners. Assist with scheduling, materials preparation, and other event-related needs as assigned.Other Duties Collaborate with the administrative support team to ensure efficient office operations.
Perform other related tasks as assigned by the Principal or school administration in support of the schools mission.Working Conditions This position reports to the school principal. This position is full-time, year round with hours 7:30 am to 4:00 pm.
