Safety Administrator
Position Overview
We are looking for a motivated and bilingual Safety Administrator to support our Safety Training
Manager and Project Managers in day-to-day safety operations. This mid-level role is central to
coordinating and scheduling employee safety training, maintaining compliance records, and ensuring
field crews are properly trained before mobilizing on site.
The ideal candidate is fluent in both English and Spanish, comfortable communicating directly with
employees and subcontractors in the field and experienced in a construction environment. You will
serve as a key link between the office and the job site, helping schedule training sessions, follow up with
employees by phone and email, and keep training documentation organized and current.
Responsibilities
Training Coordination
• Coordinate and schedule safety training sessions in collaboration with the Safety Training
Manager and Project Managers
• Contact employees, subcontractors, and crew by phone and email to enroll and confirm training
attendance
• Track training completions, certifications, and renewal deadlines using Microsoft Excel or safety
management software
• Prepare and distribute training materials, rosters, and sign-in sheets prior to each session
• Follow up with employees who have missed or incomplete training requirements
• Maintain organized and up-to-date training records for all active personnel
Communication and Field Support
• Serve as a bilingual point of contact (English/Spanish) for field employees regarding safety
training requirements and scheduling
• Communicate safety policies, training schedules, and compliance notices clearly in both
languages
• Assist Safety Training Manager and Project Managers in coordinating on-site safety orientations
for new hires
• Relay field safety concerns and training gaps back to the Safety Training Manager for review
Administrative & Compliance Support
• Manage training calendars and coordinate room/resource logistics for training events
• Input and maintain data in Microsoft Excel spreadsheets and Outlook for tracking and reporting
• Prepare weekly training status reports for the Safety Training Manager and Project Managers
• Assist with audit preparation by ensuring training documentation is complete and accessible
• Support the team with general administrative safety tasks as needed
• Support in project documentation preparation
Site Safety Assistance
• Assist with job site safety inspections and walkthroughs when needed
• Distribute and explain safety materials to employees in both English and Spanish
• Participate in toolbox talks and safety meetings, providing bilingual support to ensure full
understanding
Qualifications
• 2 years of experience in administrative, coordination, or safety support role
• Construction industry experience strongly preferred
• Experience scheduling, coordinating, or supporting training programs a plus
• Background working with diverse, multilingual crews in a field environment preferred
• Must be able to communicate safety requirements, conduct conversations, and prepare written
communications fluently in both English and Spanish
• Proficient in Microsoft Office Suite — Word, Excel, Outlook, and Teams (Required)
• Comfortable managing spreadsheets, calendars, and email correspondence
• Experience with safety or project management software (e.g., Procore, iAuditor, Safety Culture)

• OSHA 10-Hour or 30-Hour Construction Certification (or willingness to obtain upon hire)
• Current First Aid & CPR Certification
• OSHA 30-Hour Construction Certification
• Any additional safety or construction-related credentials
• Strong organizational skills with ability to manage multiple schedules and deadlines

• Excellent interpersonal and phone communication skills
• Detail-oriented with a high degree of accuracy in data entry and record keeping
• Self-starter who can work independently and collaborate effectively with managers and field
crews
