Moss Consulting is a growing HR consulting firm seeking an exceptional Executive and Personal Assistant to support our Co-Founder, Nicole Moss. This position exists for one purpose: to reduce the noise in Nicole's day so she can focus entirely on building the business. The right person operates quietly in the background, anticipates needs before they are expressed, and takes complete ownership of everything within their scope — without being asked, without being reminded, and without dropping details.
This is a management by objective position. How you structure your day and meet your goals is largely up to you. What is not negotiable is the outcome: Nicole has what she needs, knows what is coming, and is never caught off guard.
WHAT YOU WILL DO
Daily Briefings: Prepare and deliver a thorough end-of-day brief each evening covering the following day's priorities, upcoming travel, deadlines, pending follow ups, and anything else Nicole needs to walk into the next morning prepared and focused.
Travel and Logistics: Coordinate all travel arrangements for Nicole and the Moss Consulting team, including flights, hotels, ground transportation, and detailed itineraries. Travel occurs at minimum once per month across multiple cities and includes market growth trips with key team members. Light personal travel may be required on occasion.
Event Planning and Execution: Plan, coordinate, and execute company and personal events from concept through completion, managing all vendors, logistics, timelines, and details.
CRM Management Maintain Nicole's contacts in HubSpot, ensuring new connections are entered promptly, categorized correctly, and kept separate across six active markets. HubSpot experience is helpful but can be learned quickly — what matters is that you are meticulous with data and follow through consistently.
Communications and Follow Up: Support Nicole with emails, correspondence, follow ups, and calendar management. Help keep communication flowing with contacts across six cities and assist in planning for ongoing market growth efforts.
Household and Vendor Management: Manage all household vendors including cleaning services, grocery and household supply coordination, and home maintenance scheduling. When Nicole returns from travel, the house is clean, the refrigerator is stocked, and everything is in order. Vehicles are kept clean and maintained. Home office upgrades and improvements are handled proactively.
Personal Appointments: Book and manage personal appointments and ensure they are integrated into Nicole's overall schedule without conflict.
Document Support Provide light support with document formatting and preparation as needed.
General Support Handle administrative tasks, light office work, and any other responsibilities that arise in supporting a fast-moving founder and growing business.
WORK ARRANGEMENT
When Nicole is in Austin, this role is based out of our home office in southeast Austin. Hours during those periods will flex based on what is needed at the time. When Nicole is traveling, this role may be performed remotely. Availability outside of standard hours will occasionally be required, but day-to-day flexibility is a hallmark of how we operate and will far outweigh those exceptions.
WHAT IS PROVIDED
A company laptop, cell phone, and credit card for approved expenses are provided. A car allowance and mileage reimbursement are provided for work-related errands and travel. All spending requires pre-approval and a daily timesheet is required. This position does not include employer-provided healthcare or PTO. Compensation reflects that structure and is set accordingly. Eligible for annual discretionary bonus based on performance.
COMPENSATION
This role pays between $22 and $30 per hour. Where a candidate falls within that range is determined entirely by their demonstrated skills and proven ability to perform all functions of this role at a high level. We are not paying for potential. We are paying for performance, and we are prepared to pay well for the right person.
WHAT WE REQUIRE
A minimum of three years of direct experience supporting a senior executive, founder, or principal in a role that combined professional and personal responsibilities at a high level. We are looking for someone who has been in this seat, understood the weight of it, and delivered consistently in a fast-paced environment. Strong references from direct supervisors in comparable roles are required. A background check is required prior to any offer being extended.
Demonstrated ability to manage complex, overlapping priorities without supervision. Exceptional written communication skills. Proficiency with calendar and office tools. Comfort with CRM platforms. Reliable transportation. Flexibility to travel occasionally. Absolute discretion in all matters, both professional and personal, is non-negotiable.
