Moses Lake Presbyterian, a Basin Community Church, seeks candidates for an Administrative Assistant position.

The Administrative Assistant is responsible to ensure office operations are running smoothly; provide administrative support to the Pastor/Head of Staff and to other pastoral staff as needed; complete a variety of administrative clerical tasks in support of church operations; and engage with the congregation, members of the community, and others in a manner honoring God and serving our mission of Reaching Seekers and Building Believers.

This position works collaboratively with staff and volunteers in a team environment and reports to the Pastor/Head of Staff.

Pay & Benefits:

This is a full-time, overtime-eligible position.

Essential Functions:

  • Monitor all front office activity and facilitate adjustments as needed to ensure the daily functions of the church office are running efficiently and reliably. Maintain strict confidentiality concerning all business in the church office.
  • Assist the Pastor/Head of Staff in meeting daily objectives by managing calendar activities assisting with correspondence, handling messages, and responding to or anticipating other needs as they arise to enhance the Pastor’s opportunity to meet daily objectives.
  • Provide quality customer service and collaboration by creating a welcoming and supportive environment. Diplomatically respond to questions, concerns, and requests for information.
  • Master a variety of software applications and platforms such as Word, Adobe Reader, PageMaker, and others to facilitate or assist with a variety of hard copy or electronic communications including but not limited to Sunday bulletins, announcements, funeral/memorial programs, wedding programs, advertising, communications with the congregation, etc. Create accessible content in both electronic and print formats as appropriate.
  • Maintain giving records and prepare bank deposits following prescribed cash handling protocols. Reconcile monthly credit card statements and work/coordinate effectively with the church’s bookkeeping /accounting resource on transmission of financial information.
  • Maintain church calendar for events and building use.
  • Maintain personnel records pertaining to leave use and balances, insurance, educational records, and other items.
  • Prepare agenda and other materials as needed for Session meetings; Gather information and prepare Annual Report for ECO. Maintain permanent records of the church.
  • Use spreadsheet software, such as Microsoft Excel, to create and manipulate large or complex spreadsheets, use complex mathematical formulas to calculate data, and link worksheets. Import data from other sources, filter lists, and create and format charts and graphs.
  • Use word processing software, such as Microsoft Word, to save and edit web pages and work with hyperlinks. Create forms using templates, work with form fields, and format and enhance forms. Use mail merge to create form letters, modify merged document, and merge envelopes and labels.
  • Provide coverage as needed for the receptionist, answering phones, and assisting visitors as needed.
  • Order supplies as needed.
  • Other reasonable duties as assigned.

Qualifications:

  • High school diploma or equivalent.
  • Five (5) years of full-time work experience in an administrative and/or clerical support position with experience providing services to and working with the public.
  • Experience using computers, spreadsheets, data entry and retrieval systems, and word processing software including Excel, Word, Adobe, PageMaker or other publishing programs, and Outlook to accomplish daily work.
  • Experience serving and engaging with individuals across a wide range of backgrounds, perspectives, and life circumstances.
