Job Description: Office ManagerOverall Function
The Office Manager is a key member of the school’s administrative team, providing essential support to the Charter Administrator, Business Manager, faculty, students, and families. This role ensures the smooth daily operation of the school by managing records, coordinating data reporting, supporting communication systems, and handling a wide range of administrative responsibilities. The Office Manager represents the school with professionalism, maintaining a welcoming and supportive environment for the school community.
Primary Responsibilities
The Office Manager’s work encompasses four main areas: Administrative Support, Record Maintenance, Data Coordination, and Communication.
Essential DutiesAdministrative Support
- Generate and provide reports as requested by the Charter Administrator or Business Manager.- Assist in researching vendors and service contracts.- Complete clerical and administrative tasks in the school’s operational database.- Track and prioritize tasks within the operational database.- Maintain database of substitute teachers and their background check status.- Review attendance reports twice monthly and coordinate sending absenteeism letters with the Charter Administrator.
Record Maintenance
- Provide backup at the front desk during peak times, including lunch and attendance reporting.- Prepare and transfer 8th grade student files.- Maintain accurate and confidential student and staff records.
Data Coordination
- Maintain the student and staff database (Powerschool).- Upload and manage state reporting data through ISEE (Idaho System for Educational Excellence).
-Collect Vaccination records and submit reports annually to the Idaho Department of Health and Welfare
Communication
- Welcome families, students, and visitors to the school with a professional and positive demeanor.- Answer phones, take messages, and relay information when the Secretary is unavailable.- Manage the school-wide Google Drive.- Prepare deposits for review by the Business Manager.
Special Projects
- Maintain and update the technology inventory database.- Serve as liaison with technology vendors, including purchasing and tracking.- Collaborate with the PAT and Business Manager to track donations and ensure timely acknowledgments.- Support Charter Administrator with special projects and school initiatives as assigned.
Qualifications
- High school diploma or equivalent required; associate’s or bachelor’s degree preferred.- Prior experience in office administration or school operations strongly preferred.- Strong organizational skills with the ability to manage multiple tasks and priorities.- Excellent written and verbal communication skills.- Proficiency in Google Workspace and student information systems (experience with Powerschool and ISEE preferred).- Ability to maintain confidentiality and handle sensitive information with discretion.- Professional demeanor, appearance, and communication when engaging with staff, families, and the community.
Working Conditions
- Standard office environment within a school setting.- Frequent interaction with staff, students, families, and community members.- Requires sitting, standing, and walking throughout the day; occasional lifting of up to 25 pounds.
Evaluation
Performance will be evaluated annually by the Charter Administrator and/or Business Manager in accordance with school policy.
