Role Overview
The Final Documents Specialist is responsible for ensuring final recorded mortgage documents are received, reviewed, processed, and delivered to investors accurately and on time. This role serves as an important connection between internal teams, investors, title companies, attorneys, and county recording offices to ensure documentation is complete and compliant.
This position is ideal for someone who is highly organized, detail-oriented, and enjoys working in a fast-paced environment where accuracy and follow-through are essential.
Essential Functions
- Receive, open, and prepare incoming mail containing final recorded mortgage documents, title policies, and related documentation
- Image and audit trailing documents using established audit procedures and checklists
- Enter document receipt and shipping information into the loan origination system (LOS)
- Review files to ensure all required final documents have been received and properly recorded
- Work with title companies, attorneys, county offices, and other third parties to obtain missing or corrected documentation
- Pull and analyze reports to identify aged or outstanding documents requiring follow-up
- Obtain certified copies of recorded documents when necessary
- Collaborate with investors and internal departments to resolve document defects and coordinate re-recordings when required
- Conduct regular reviews to ensure documents are shipped to investors in a timely manner after loan sale completion
- Maintain accurate records and documentation throughout the post-closing process
- Maintain regular, reliable, and predictable onsite attendance
- Perform other related duties as assigned
Knowledge, Skills, and Abilities
- Proficiency with Microsoft Word and Excel
- Familiarity with mortgage closing documents and post-closing processes preferred
- Strong verbal and written communication skills
- Excellent customer service and phone communication skills
- Exceptional attention to detail and organizational abilities
- Ability to manage a high volume of work while maintaining accuracy
- Strong critical thinking and problem-solving skills
- Ability to work independently and maintain a positive, professional attitude
- Ability to identify and resolve documentation deficiencies efficiently
Qualifications & Experience
- High school diploma or equivalent required
- 0–2 years of experience in a professional office environment preferred
- Experience with mortgage loan documents, title work, or post-closing processes is a plus
- Experience with Encompass preferred
