The Office Attendant responsibilities focus on maintaining a clean and organized office environment, including tasks that include cleaning the common areas of the kitchen and mail room, managing the flow of incoming and outgoing mail, re-stocking supplies, managing visitor access, and when needed providing basic administrative support, all while ensuring a welcoming atmosphere for staff and guests.
Responsibilities include, but are not limited, to:
Cleaning / Organization:
- Maintain a clean and orderly appearance of both the kitchen and mail room areas. This includes:
- Disposal of empty shipping boxes to designated pick up areas.
- Putting away unused food.
- Organizing kitchen and mailroom supplies.
- Support the operation of the corporate kitchen area through:
- Light cleaning, such as countertop, cabinet and beverage machine wipe down.
- Emptying trash and recycling bins if needed prior to days end.
- Loading, running, and unloading dishwashers.
- Replenish coffee and Bevi machines as necessary.
- Contact and schedule vendors for kitchen equipment maintenance/service.
- Organizing refrigerator and cabinets.
- Identifying and advising the manager of when to order supplies.
- Maintaining predetermined minimum level of supplies.
- Clearing of countertops and tables, as necessary.
- Disposal of unused or outdated food from refrigerators and cabinets.
- Support the operation of the corporate mailroom through:
- Assisting employees with preparing outgoing mail and packages for pick-up.
- Sorting and delivery of mail and packages to employees.
- Signing for deliveries.
- Sending certified mail through the New Canaan Post Office.
- Light cleaning, such as countertop clearing and wiping down.
- Monitoring of shredder bin level and contacting vendor if early pick up is required.
- Emptying trash and recycling bins if needed prior to days end.
- Contact and schedule vendors for mailroom equipment maintenance/service.
- Organizing cabinets and shelves.
- Maintaining predetermined minimum level of supplies.
- Identifying and advising the manager of when to order supplies.
- Support corporate office administrative functions through:
- Maintaining proper paper levels within three office copy machines.
- Communicating with IT any copier issues.
- Setting up and breaking down temporary tables for corporate events.
- Light cleaning of area following corporate events.
- Advising manager if extra cleaning is required by contract cleaners.
- Adhering to company policies and procedures.
- Other administrative tasks as assigned.
- High School Diploma or equivalent.
- Strong attention to detail to ensure accurate sorting and timely delivery of mail.
- Ability to prioritize tasks and manage time effectively.
- Excellent communication skills to address inquiries related to mail delivery and engage with employees and vendors.
- Exceptional customer service skills for interacting with visitors and colleagues.
- Basic knowledge of cleaning and sanitation practices.
- Strong commitment to maintaining cleanliness standards and workplace organization.
- Ability to work independently and adhere to established cleaning schedules.
- Strong time management skills to complete daily tasks and accommodate additional assignments as needed.
- Sit or stand for prolonged periods of time.
