Job Summary
The Human Resources Assistant reports to the Vice President of Human Resources and provides administrative support to the Human Resources Department. This hands-on role encompasses a broad range of responsibilities, including employee and candidate support, recruiting and onboarding, benefits administration, company events, travel coordination, meeting and calendar management, records and document processing, office and supply coordination, and other day-to-day administrative needs.
The ideal candidate will be organized, dependable, detail-oriented, and customer-focused. This position requires someone who is comfortable handling routine HR and administrative tasks, maintaining confidentiality, and helping wherever needed to support the HR team. Core Responsibilities
- Provides exceptional customer service and professional support to employees, managers, candidates, and members of the HR team.
- Provides day-to-day administrative and operational support to the Human Resources Department, including coordinating company events, arranging catered meals, and assisting with new hire onboarding and orientation.
- Provides administrative support to the Senior Leadership Team and Department Managers as needed.
- Assists with new hire benefit enrollments, employee status changes, and annual open enrollment activities.
- Coordinates business travel arrangements, including flights, hotel accommodations, rental cars, and other reservations for internal and external customers.
- Supports recruitment activities by coordinating background checks, verifying references, scheduling interviews, and maintaining candidate documentation.
- Processes incoming and outgoing mail, including routine trips to the post office and other business-related errands.
- Coordinates employee and customer meetings by managing calendars, scheduling conference rooms, preparing meeting spaces, and ensuring necessary materials are available.
- Maintains adequate office, breakroom, and kitchen supplies and replenishes inventory as needed.
- Makes routine weekly grocery and supply purchases to support company operations, meetings, and employee programs.
- Processes petty cash transactions, employee reimbursements, and receipts.
- Assists with employee events, recognition programs, celebrations, meetings, and other company-sponsored activities.
- Performs routine data entry, filing, scanning, copying, document preparation, and other clerical duties necessary to support the HR function.
- Handles confidential employee information with discretion and professionalism.
- Maintains a clean, organized, and professional HR and meeting environment.
- Follows all company policies, procedures, and applicable safety requirements.
- Demonstrates flexibility and a willingness to perform routine, repetitive, and miscellaneous administrative tasks that are essential to the effective operation of the HR Department.
- Performs other duties assigned.
Education and Experience
- High school diploma or equivalent.
- 3 years of experience working in an administrative/HR assistant role.
