Director’s Office Division, Latino Health Initiative, is recruiting for an enthusiastic and talented individual for Principal Administrative Aide to join our team. We’re seeking someone who thrives on providing exceptional customer service, has strong expertise in processing administrative transactions, and brings a solid understanding on how to process financial transactions. What You'll Be Doing

Responsible for providing general office, administrative and clerical support to the Latino Health Initiative (LHI) and serving as a point of entry contact for the general community and for Spanish-speaking individuals with limited English proficiency. Specific duties include:

  • Provides phone and visitor reception for LHI. Queries caller or visitor to ascertain nature of call/ visit, respond by providing program information or refers to appropriate staff if necessary.
  • Design, implement and maintain an organized electronic filing system, including retrieval control, extension, retention and archival procedures.
  • Maintain calendars and schedules for LHI program activities. Assist in scheduling meetings and other commitments for LHI programs.
  • Coordinate logistical and administrative activities for LHI meetings, conferences, and workshops.
  • Process incoming and outgoing LHI mail. Receive, sort, screen, and deliver office mail to appropriate staff, and assembly outgoing mail.
  • Process financial transactions such as reimbursements, payments, requisitions, invoices and purchase orders.
  • Use database to access, retrieve and use data and record transactions to produce budget reports.
  • Process administrative transaction such as ordering supplies and parking permits.
  • Word processes or types such documents as letters, memos, summaries, meeting minutes, and forms from rough draft, notes, verbal instructions or other sources.
  • Attend community events, committee meetings and outreach.
  • Other duties as required and as appropriate.

This position requires the ability to attend meetings or perform work at locations outside the office.

Work Schedule: Some program activities, community events, or outreach sessions may occur during evening or weekend hours.

Telework: This position may be eligible for limited hybrid telework, up to two days per week after the initial training period.

Minimum Qualifications

Education: Graduation from high school or High School Certificate of completion recognized in the State of Maryland.

Experience: Two (2) years of progressively responsible office support experience.

Equivalency: An equivalent combination of education and work experience may be substituted.

Preferred Criteria, Interview Preferences

The applications of those individuals meeting the minimum qualifications will be reviewed to determine the extent, relevancy of training, and experience in the following areas:

  • Experience supporting community outreach or engagement with Latino communities.
  • Experience supporting offsite program activities or community-based events.
  • Experience using enterprise or program data systems to enter, track, or retrieve information.
  • Experience providing phone/visitor reception, triaging inquiries, and routing customers appropriately.
  • Experience processing administrative and financial transactions.
  • Experience establishing and maintaining organized electronic filing systems.
  • Experience coordinating calendars and organizing meetings, workshops, or events.
  • Experience preparing written materials such as correspondence, minutes, or summaries.
  • Experience entering or retrieving data in databases and producing activity or budget reports.
  • Experience communicating effectively with staff, partners, and community members.
  • Experience using Spanish language skills in a professional setting.
