Job Summary
The Medical Staff Office Credentialing Coordinator plays a crucial role in providing administrative support and coordination within the Medical Staff Office of our hospital. This position serves as a key point of contact for medical staff, departmental leaders, and external stakeholders, ensuring efficient operations and adherence to regulatory requirements. The successful candidate will possess excellent organizational, communication, and problem-solving skills to thrive in this dynamic healthcare environment.
Responsibilities
Assist in managing and maintaining the Medical Staff Office operations, including document management, scheduling, and coordination of meetings, events, and conferences. Serve as a primary point of contact for medical staff members, handling inquiries, providing information, and addressing concerns in a professional and timely manner. Facilitate the credentialing and privileging process for medical staff, ensuring accurate and complete documentation, coordinating with relevant departments and committees. Assist in the preparation, distribution, and maintenance of Medical Staff Office policies, procedures, and forms, ensuring compliance with regulatory standards and accreditation requirements. Support the organization and maintenance of medical staff records, databases, and electronic systems, ensuring confidentiality and data integrity. Collaborate with various departments, including Human Resources, Finance, and IT, to facilitate smooth processes related to medical staff appointments, onboarding, and other administrative tasks. Assist in preparing and organizing medical staff committee meetings, including compiling agenda materials, recording minutes, and following up on action items. Participate in special projects and initiatives aimed at improving Medical Staff Office operations, streamlining processes, and enhancing overall efficiency. Stay up-to-date with industry regulations and best practices related to medical staff administration, and implement changes as necessary.
Knowledge, Skills & Abilities
Light Work: Frequent lifting and/or carrying of objects weighing up to 10 lbs. with a maximum lifting of 25 lbs.
Proven experience in administrative support roles, preferably within a healthcare or medical setting. Familiarity with medical staff office operations, credentialing, privileging, and regulatory requirements (e.g., Joint Commission, CMS). Strong computer skills, including proficiency in MS Office Suite and experience with electronic medical staff management systems. Excellent organizational skills with the ability to prioritize tasks, manage multiple assignments, and meet deadlines. Exceptional interpersonal and communication skills to interact effectively with medical staff, department leaders, and external stakeholders. Attention to detail, accuracy, and confidentiality in handling sensitive information. Ability to work independently, as well as collaboratively within a team environment. Flexibility to adapt to changing priorities and work effectively in a fast-paced healthcare setting.
Ability to make administrative/procedural decisions and judgments. Ability to investigate and analyze information and draw conclusions. Ability to process computer data and to format and generate reports. Ability to supervise and train employees, to include organizing, prioritizing, and scheduling work assignments. Ability to communicate effectively, both orally and in writing. Ability to foster a cooperative work environment. Strong interpersonal and communication skills and the ability to work effectively with all medical staff and hospital personnel. Excellent organizational skills.
