ESSENTIAL FUNCTIONS:
- Engages with patients and visitors, ensuring a welcoming and inclusive environment.
- Greets patients upon arrival and provides them with necessary information.
- Assists patients in completing required forms and documentation.
- Ensures all patient forms are completed accurately and entered into the EMR system in a timely manner.
- Updates and maintains patient records, ensuring accuracy and confidentiality.
- Manages patient flow by keeping appointments on schedule and notifying providers of patient arrivals.
- Answers incoming phone calls, handles inquiries, and transfers calls as necessary.
- Directs messages and communication to the appropriate medical staff.
- Responds to requests for information, including sending faxes and emails.
- Notifies patients’ families of patient status when needed.
- Schedules, reschedules, and confirms patient appointments.
- Calls patients to remind them of upcoming appointments.
- Updates and manages appointment calendars to optimize provider schedules.
- Maintains patient accounts by recording and updating personal and financial information in e-Clinical.
- Assists with patient charge collection and financial documentation.
- Ensures accuracy in billing and revenue collection processes.
- Creates, labels, and maintains patient charts.
- Manages filing and record-keeping tasks.
- Monitors and reports required office statistics.
- Maintains an organized and well-stocked reception area, including forms, office supplies, and reading materials.
- Follows all safety rules on the job, reports all accidents promptly and corrects minor safety hazards.
- Communicates with peers and management regarding any hazards identified in the workplace.
- Uses downtime efficiently, constantly helps and responds positively to requests for assistance from other team members.
- Protects patient and family privacy rights and maintains confidentiality of patient records in accordance to policy and procedure and HIPAA requirements.
- Confirms patients’ demographics are accurate.
- Provides patients with post-op-care instructions.
- Assures patients understand instructions are to be strictly followed.
- Conducts procedure confirmation calls to verify appointment details, instructions, and medication holds.
- Ensures that necessary medical clearance is on file prior to procedures.
- Confirms that the patient has a designated driver for post-procedure transportation.
- Assists in scheduling a driver for patients if they do not have one available.
- Perform other related tasks as needed.
- Demonstrates strong communication skills to effectively interact with patients, visitors, and staff.
- Provides accurate information regarding the facility’s services and operations.
- Maintains a high level of professionalism in all interactions, both in person and over the phone.
- Displays exceptional customer service, including eye contact, warm greetings, and professional body language.
- Knowledge of administrative and clerical procedures, including word processing, file management, and office protocols.
- Proficient in Microsoft Office Suite, including Outlook, Excel, and Word.
- Experience with electronic medical records (EMR) systems for data entry and patient management.
- Strong attention to detail, ensuring accuracy and thoroughness in all work tasks.
- Ability to remain calm, professional, and composed in high-stress situations.
