Our Facilities & Maintenance Administrator is responsible for ensuring all Momentum Behavioral Services locations remain safe, functional, professional, and well-maintained. This role serves as the central coordinator for facility operations by conducting routine clinic inspections, identifying maintenance needs, prioritizing projects, coordinating vendors, obtaining quotes, ordering supplies, and tracking completion of repairs and improvements.
The ideal candidate is highly organized, proactive, solutions-focused, and comfortable balancing administrative coordination with hands-on facility oversight in a fast-growing healthcare environment.
Schedule: 8:00am - 4:30pm Monday - Friday
Salary: $26.00 - $35.00 per hour, depending on experience
Location: Byron MN based with 75% travelling to MN Clinics

Facility Oversight & Inspections
- Conduct routine visits to all clinic locations to assess facility condition, safety, cleanliness, and operational readiness.
- Complete facility audits and maintain a tracking system for identified repairs, maintenance needs, and improvement projects.
- Identify issues proactively before they become larger operational concerns.
- Ensure clinics maintain a professional and welcoming environment for clients, families, and employees.
- Receive, prioritize, and track maintenance requests from clinic leadership.
- Determine urgency and business impact of facility-related issues.
- Coordinate maintenance schedules and timelines with internal teams and external vendors.
- Monitor progress of projects and ensure timely completion.
- Verify quality of completed work and ensure projects meet company standards.
- Obtain and compare quotes for repairs, maintenance services, equipment, and facility projects.
- Schedule vendors and contractors for approved work.
- Develop and maintain relationships with reliable service providers.
- Track vendor performance, responsiveness, and cost effectiveness.
- Ensure vendors meet company requirements and expectations.
- Order facility-related supplies, equipment, furniture, and maintenance materials.
- Maintain inventory tracking for clinic needs.
- Research cost-effective solutions while maintaining quality standards.
- Monitor facility budgets and identify opportunities for cost savings.
- Assist with clinic expansions, renovations, relocations, and new clinic openings.
- Coordinate timelines, materials, vendors, and resources for facility projects.
- Maintain project documentation and status updates.
- Ensure projects are completed on time and within budget.
- Support compliance with facility safety standards and regulatory requirements.
- Identify and address environmental or safety concerns.
- Ensure emergency equipment, signage, and facility requirements are maintained.
- Partner with leadership to address risk-management concerns.
- Maintain detailed records of maintenance requests, projects, inspections, vendor contracts, and expenditures.
- Prepare regular reports on facility status, open projects, and maintenance trends.
- Track project budgets and expenditures.
- Assist leadership with annual facility planning and budgeting.
- High school diploma or equivalent.
- 3 years of facilities coordination, maintenance administration, property management, operations, or related experience.
- Strong organizational and project management skills.
- Ability to manage multiple priorities across multiple locations.
- Proficiency with Microsoft Office and Google Workspace.
- Valid driver’s license and reliable transportation.
- Ability to travel regularly throughout Minnesota.
- Experience in healthcare, ABA, education, or multi-site operations.
- Experience managing vendors and facility projects.
- Knowledge of basic building systems, maintenance, repairs, and construction processes.
