Overview
The Staff Assistant to the Chief of Staff provides administrative, operational, professional appearance, demeanor, and organizational support to ensure the efficient daily operations of the organization. This position works closely with the Chief of Staff to coordinate communications, maintain records, support staff operations, and assist with special projects and organizational initiatives.
Essential Duties and Responsibilities
- Provide direct administrative support to the Chief of Staff.
- Manage schedules, appointments, meetings, and calendars.
- Draft, proofread, and distribute professional emails, reports, memorandums, and internal communications.
- Maintain confidential staff and organizational records in an organized manner.
- Assist with onboarding, training coordination, and staff documentation.
- Monitor office operations and ensure timely completion of assigned tasks.
- Serve as a liaison between leadership, staff, families, vendors, and external partners when needed.
- Coordinate meetings, prepare agendas, and document meeting notes.
- Track deadlines, projects, and follow-up items for the Chief of Staff.
- Assist with payroll preparation, staff scheduling, and compliance documentation as directed.
- Support event planning, center activities, and operational projects.
- Maintain professionalism and confidentiality in all interactions and communications.
- Perform additional duties as assigned by the Chief of Staff or Executive Leadership Team.
Qualifications
- High school diploma or equivalent required; associate or bachelor’s degree preferred.
- Minimum of 2yrs HR experience
- Previous administrative, office support, or childcare management experience preferred.
- Strong verbal and written communication skills.
- Proficient in Microsoft Office, Google Workspace, and childcare management systems.
- Strong organizational skills with attention to detail.
- Ability to multitask and prioritize responsibilities in a fast-paced environment.
- Ability to maintain confidentiality and professionalism at all times.

Work Environment
