About the role
Moffa, Sutton & Donnini is a Florida state and local tax law firm representing businesses in audits, appeals, voluntary disclosure agreements, and sales tax matters throughout the state. We are growing and looking for a sharp, organized Legal Intake Specialist and Admin Assistant to join our Fort Lauderdale office. This role is the first touchpoint for prospective clients and a critical part of how we deliver an exceptional client experience from day one.
What you'll do
Manage new client intake through Clio and Lawmatics, including creating matters, sending engagement documents, and tracking follow-upsRespond to inbound inquiries via phone, email, and web form in a timely, professional mannerQualify prospective clients, gather key facts, and route matters to the appropriate attorneyMaintain and update contact records, pipeline stages, and automated workflows in LawmaticsSupport attorneys with scheduling, document preparation, and general administrative tasksKeep the intake process moving — following up with prospects and ensuring nothing falls through the cracks
What we're looking for
Prior experience at a law firm — you understand how legal offices operateHands-on proficiency with Clio and Lawmatics (required — please do not apply without this experience)Strong written and verbal communication skills with a professional, client-friendly toneDetail-oriented and organized — you follow through and keep things movingComfortable working independently in a fast-paced environment with multiple open mattersFamiliarity with Florida tax, business, or transactional law practices is a plus but not required
