What are the responsibilities and job description for the Administrative Assistant position at Modoc Nation Behavioral Health?
Duties & Responsibilities:
- Provide administrative assistant services to the MNHS Executive Director, Director of Operations, & Administrative Director.
- Represent executive leadership professional with internal & external stakeholders.
- Monitor facility access by greeting visitors, responding to gate communications verifying authorized entry, & facilitating access to property in accordance with MNBH security procedures.
- Serve as the primary point of contact for the Hope Ranch House for facility related issues, coordinating communications between staff, maintenance personnel, contractors, & vendors.
- Draft, edit, & coordinate contracts, service agreements, Memorandums of Understanding (MOUs), Memorandum of Agreements (MOAs), Business Associate Agreements (BAAs), & other business documents.
- Ensure agreements comply with MNBH policies & procedures, procurement requirements, & legal review process.
- Schedule & track CPI, CPR, & First Aid trainings for all MNBH employees.
- Collect, compile, verify, & enter data into information management systems ensuring accuracy, completeness, & timeliness.
- Modify & refine workflows, procedures, & processes in response to directives, organizational priorities, regulatory changes, & operational needs.
- Prepare agendas, reports, presentations, correspondences, & executive briefing materials as needed.
- Coordinate setup for meetings, trainings, & special events ensuring facility readiness for daily operations.
- Oversee the appearance & presentation of facility & public spaces, including seasonal decoration, event décor, & meeting spaces.
- Act as liaison with Business Office to manage inventory & procurement of office, kitchen, janitorial, & facility supplies to ensure adequate stock levels.
- Coordinate catering services, food deliveries, & meal arrangements for meetings, conferences, executive functions, special events, etc.
- Manage multiple projects simultaneously while meeting deadlines.
- Ensure compliance with HIPAA & other confidentiality regulations in all aspects of job duties.
- Staff & support outreach activities as required.
- Attend All – Staff meetings & all other meetings as required.
- All other duties as assigned.
Qualifications:
1. Associate degree in business administration, human services, communications, or related field preferred.
2. Experience preparing contracts, agreements, MOUs, or similar business documents preferred.
3. Possess a valid driver’s license with a clean driving record, free of major violations or infractions. Reliable transportation is required.
4. Must be able to pass pre-employment, annual, & random drug screenings & background checks.
Compensation: $35,000-$50,000 annual salary plus fringe benefits with the opportunity for biannual bonus.
Location: This position will primarily operate from Hope Ranch, though travel will be required to off–site locations.
Schedule: This employee shall maintain regular business hours (40 hours per week).
Supervision: This position operates under direct supervision of the MNHS Administrative Director.
