What are the responsibilities and job description for the Staff Accountant position at Modern Group?
Your application will be rejected if you are not currently a resident of Middle Tennessee.
About the Companies
We are a growing group of three related construction trade companies based in Franklin, Tennessee:
- Modern Builders LLC – General construction
- Modern Mechanical Contractors, Inc. – HVAC and electrical
- Modern Plumbing System, Inc. – Plumbing
We serve residential and commercial customers throughout Middle Tennessee. Our companies are growing, and we are building the accounting systems, internal controls, and back-office structure needed to support that growth.
This is a small, hands-on business environment, not a large corporate accounting department. The person who joins us will have the opportunity to make an immediate impact, improve systems, and grow into greater financial leadership as the companies
Position Overview
This is an accounting role, not an entry-level administrative or basic bookkeeping position.
Accounting is the primary responsibility. Business, project, and office administration are secondary responsibilities.
We are looking for a bright accounting professional who can independently manage core accounting functions, help with our transition to Intuit Enterprise Suite, improve internal processes, and bring greater structure and financial control to three growing companies.
The right person will already understand accounting fundamentals and be comfortable taking ownership in an environment where some systems and procedures are still being developed.
We will provide onboarding on our companies, projects, workflows, and ERP system. However, the person hired must already have the accounting knowledge and professional judgment needed to work independently without someone constantly breathing down their neck.
Primary Responsibilities
Accounting and Financial Operations
- Manage accounts payable and accounts receivable processes
- Perform bank and credit-card reconciliations
- Prepare and post journal entries
- Maintain accurate general-ledger records
- Support and improve month-end and year-end close procedures
- Review account balances and investigate discrepancies
- Assist with payroll processing, payroll records, and related reconciliations
- Support intercompany accounting between the three related companies
- Maintain organized, accurate, and audit-ready financial records
- Assist with financial statements, management reporting, and cash-flow visibility
- Develop stronger internal controls and approval procedures
- Identify accounting errors, missing documentation, and process weaknesses before they become larger problems
Construction and Project Accounting
- Maintain and improve job-costing records
- Review project budgets, actual costs, committed costs, and cost-code activity
- Help convert estimates and project information into usable ERP budgets
- Support project billing, pay applications, retainage, and change-order accounting
- Assist with work-in-progress reporting and percentage-of-completion accounting
- Review project profitability and help identify cost overruns or billing gaps
- Coordinate with management and project teams to ensure project financial information is accurate
- Help improve the flow of information between accounting, operations, and project management
Construction accounting experience is strongly preferred. However, we will consider a strong accountant from another project-based, cost-based, service, or inventory environment who has solid fundamentals and can learn construction accounting quickly.
ERP and Process Improvement
- Help complete the transition to IES from Premier, our current construction accounting ERP
- Review existing data, job records, vendor records, customer records, and accounting setup
- Help maintain practical workflows for AP, AR, payroll support, job costing, billing, and reporting
- Learn from previously recorded ERP training sessions and identify remaining questions
- Participate in training
- Document procedures so future employees can be trained consistently
- Build systems that reduce dependence on management for routine follow-up and decisions
- Recommend practical improvements to spreadsheets, reporting, document storage, and internal controls
Vendor, Compliance, and Administrative Oversight
- Maintain vendor and subcontractor records
- Track W-9s, certificates of insurance, and other compliance documents
- Support insurance audits and workers’ compensation audit correspondence
- Help organize subcontractor files, payment records, and supporting documentation
- Assist with general business and project administration when accounting priorities allow
- Eventually help supervise, train, and review the work of additional accounting or administrative support staff
What We Need
- Strong hands-on accounting experience
- Solid understanding of accrual accounting and general-ledger principles
- Experience with AP, AR, reconciliations, journal entries, and close-related responsibilities
- Ability to investigate discrepancies and explain accounting issues clearly
- Strong Excel or spreadsheet skills
- Experience using accounting software or ERP systems
- Ability to work independently and manage competing priorities
- Strong organization, judgment, accuracy, and follow-through
- Ability to step into incomplete or disorganized processes and create structure
- Confidence communicating with owners, managers, employees, vendors, subcontractors, auditors, and outside professionals
- Willingness to take ownership rather than wait for every task to be assigned
- Capacity to eventually train or supervise future support staff
Preferred Qualifications
- Bachelor’s degree in Accounting or a closely related field
- CMA, accounting certificate, or meaningful college-level accounting coursework
- Several years of progressively responsible accounting experience
- Construction accounting or project-accounting experience
- Experience with job costing, WIP schedules, percentage-of-completion accounting, pay applications, or retainage
- Experience with Jonas Premier, Sage, Foundation, Viewpoint, QuickBooks, Acumatica, NetSuite, or similar systems
- Experience supporting multiple related companies or intercompany transactions
- Prior experience improving accounting processes or helping implement an ERP system
- Experience training, supervising, or reviewing the work of another employee
A degree or certification is valuable, but substantial hands-on accounting experience may be considered in place of formal education.
