We are a commercial flooring contractor serving general contractors and direct owner clients throughout New Jersey. We are looking for an experienced Office Manager / Operations Administrator to help run our back office and support the day-to-day operations of the company.
This is a hands-on role for someone who is highly organized, dependable, and comfortable working in a fast-paced construction environment. The right person will manage office operations, purchasing, billing, payroll support, compliance tracking, and job documentation.
Responsibilities
- Manage daily office operations and administrative workflow.
- Process invoices, checks, accounts payable, and accounts receivable.
- Support payroll processing and union labor compliance administration.
- Handle purchasing, vendor follow-up, and product ordering.
- Track submittals, closeout documents, and job paperwork.
- Maintain records in QuickBooks Online and Monday.com.
- Coordinate with ownership, estimating, project management, warehouse, and field teams.
- Follow up on missing paperwork, approvals, and open administrative items.
Requirements
- Previous experience in office administration, operations, or construction office management.
- Strong organizational skills and follow-through.
- Ability to manage multiple tasks and deadlines.
- Comfortable working independently and handling confidential information.
- Experience with QuickBooks Online preferred.
- Experience with Monday.com or similar workflow software preferred.
- Construction, subcontractor, or trade industry experience preferred.
Preferred Experience
- Commercial construction or subcontractor office experience.
- Experience working in a union labor environment.
- Payroll support and compliance tracking experience.
- Purchasing, invoicing, and job documentation experience.
