For over 75 years, Modern has been a trusted partner creating extraordinary live events, expos, and exhibits. We are seeking a dependable, flexible, detail-oriented decision-maker to support daily workforce scheduling, dispatch, training, and on‑site labor coordination.
This part‑time supervisory role focuses on execution, communication, and consistency—ensuring crews are scheduled effectively, trained to Modern standards, and supported in the field. This position works closely with Production Managers, Warehouse, Crew members, and Runner, and reports to the Director of Workforce Operations & Development.
This role is ideal for someone with event or labor coordination experience who enjoys a detailed role involving problem‑solving, coaching, training, and keeping operations running smoothly in a fast‑paced, event‑driven environment.
Key Responsibilities
- Review requests, and schedule and dispatch Event Production Crews for live events and exhibits in online scheduling software
- Partner closely with Production Managers to staff Crew, adjust labor needs, and problem‑solve schedule changes and last‑minute requests
- Proactively manage workforce coverage to reduce last‑minute changes, overtime, and coverage gaps
- Supplement and monitor labor needs using union and third‑party agency agreements when needed
- Review applications, interview candidates, and process new‑hire paperwork for Crew members
- Communicate schedules, updates, and expectations clearly and consistently to Crew members
- Coordinate with Warehouse staff and on‑site Runner for real‑time issue resolution, Crew support, and coverage adjustments
- Conduct and support onboarding, orientation, and ongoing training of Crew members
- Conduct on‑site spot checks, quality assurance reviews, and provide individual performance feedback
- Serve as an evaluator for Modern’s new hire orientation and Level Up Crew development program and monitor individual skills and advancement records
- Ensure accurate timekeeping, job costing alignment, and workforce system updates
- Prepare basic reports and monitor key workforce KPIs
- Coordinate recognition, incentives, and accolades for Crew performance and engagement
- Participate in regular coordination meetings with internal teams and leadership
- Rotate scheduled on‑call coverage with other Crew Dispatch Supervisor and perform limited Runner duties as needed
- Represent Modern professionally with crews, venues, vendors, clients, and internal partners
Qualifications
- Experience in workforce scheduling, dispatch, events, production, or field operations
- Strong computer skills required, including Microsoft Office (Outlook, Excel, Word)
- Experience with LASSO or other crew‑scheduling software preferred
- Salesforce experience a plus
- Strong written and verbal communication and organizational skills
- Comfortable directing crews and providing feedback, coaching, and correction
- Ability to take direction and collaborate with others in a solution-focused manner
- Ability to make quick decisions
- Ability to manage multiple priorities in a fast‑paced, changing environment
- Experience in events, trade shows, staging, logistics, warehouses, construction, or labor supervision is a plus
- Ability to work independently and as part of a team
- Ability to lift 50 lbs, bend, crouch, and work on your feet for extended periods when supporting on‑site operations
- Comfortable working on‑call, including nights and weekends, as required by event schedules
- Willingness and reliable transportation to travel to various event locations
- Reliable, fair, detail‑oriented, and professional
- Valid driver’s license and safe driving record required

Occasional nights, weekends, holidays, with rotating on‑call coverage (paid stipend)
