Moda Operandi is seeking a Sample Assistant to join our Production Team.
The Sample Assistant, Boutique will support the Production Team in managing the entire product journey—from purchase orders to the delivery of samples from vendors and stock to the warehouse—within a dynamic, fast-paced studio environment requiring flexibility and efficiency in all aspects.
This is a 5 day a week onsite position in our Industry City office in Brooklyn, NY.

The Sample Assistant, Boutique will support the Production Team in managing the entire product journey—from purchase orders to the delivery of samples from vendors and stock to the warehouse—within a dynamic, fast-paced studio environment requiring flexibility and efficiency in all aspects.

Primary Responsibilities Include
- Act with a strong sense of urgency to action new purchase orders each season, proactively partnering with brands to secure and coordinate timely sample loans for e-commerce photography.
- Coordinate all logistical aspects of sample loans—Collaborate with vendors to confirm sample loan logistics, including shipping and returns, while coordinating with internal shipping departments and domestic/international couriers to ensure seamless inbound and outbound movement of samples, with meticulous attention to detail at every step.
- Responsible for receiving, checking in, tagging, and managing all samples brought into the studio, as well as organizing and maintaining the entire sample closet.
- Drive the intake process for all studio samples, including receiving, checking in, tagging, and tracking inventory, while maintaining an impeccably organized and efficient sample closet.
- Support the Production Team in creating the daily schedule and shot lists for studio photo teams, prioritizing quick turnaround times per brands’ needs.
- Provide detailed styling guides to studio stylists to ensure product shots accurately reflect items and adhere to brand personality.
- Communicate color correction and sample discrepancies to the retouching team to ensure accuracy of images.
- Track daily shooting progress per day and maintain daily/weekly/seasonal production goals for on-model, ghost form, and still life product shots.
- Oversee the careful packing and prompt return of all samples to brands, upholding a best-in-class standard of care and organization.
- Support the Team in returning Boutique stock to the warehouse, as well as unpacking and receiving inventory in the studio.
- Collaborate cross-functionally with Buying and Site Merchandising teams to ensure all product imagery is completed in alignment with launch calendars and stock delivery deadlines.
- Submitting vendor imagery in accordance with company standards and guidelines.
- Coordinate all monthly editorial sample requests, managing sample logistics end-to-end while clearly communicating timelines, moodboard, and sample needs to vendors in partnership with the Creative and Marketing Teams.
- Act as the point of coordination for Mirakl-Marketplace related workflows—facilitating requests, aligning stakeholders, and ensuring timely execution across Marketplace, Production, and external partners.
- 2 years of sample management and project coordination experience.
- Prior Vendor communication experience.
- Intermediate proficiency with Microsoft and Google applications required.
- A strong and thorough knowledge of the luxury market.
- Ability to work in a fast-paced, e-commerce setting.
