Responsibilities
- Serve as the first point of contact at the front desk, greeting visitors and directing them appropriately with professional phone etiquette.
- Manage multi-line phone systems to handle incoming calls promptly and efficiently, routine and triaging veterinary phone calls.
- Perform data entry and maintain accurate records using tools such as QuickBooks, Microsoft Office Suite (Word, Excel, Outlook), and Google Workspace applications.
- Support bookkeeping tasks such as invoicing, expense tracking, and basic financial record keeping using QuickBooks and Practice Management Software.
- Coordinate office management activities including supply inventory and equipment maintenance.
- Provide excellent customer support by addressing inquiries via phone or email promptly and professionally while maintaining high standards of service.
- Maintain confidentiality of sensitive information and ensure compliance with company policies at all times.
Qualifications
- Proven experience in office administration or clerical roles with a strong background in office management.
- Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry skills.
- Familiarity with QuickBooks for bookkeeping tasks is highly desirable.
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Strong written and verbal communication skills.
- Experience working at a front desk or as a receptionist in medical or dental offices is advantageous.
- Knowledge of multi-line phone systems and phone etiquette to handle high call volumes professionally.
- Personal assistant experience or medical/dental receptionist background is beneficial but not mandatory.
- Demonstrated time management skills coupled with the ability to multitask seamlessly under pressure.
