Job Summary
We are seeking a dynamic and proactive Relationship Manager- Intake to serve as the primary point of contact for new clients and referral sources. The ideal candidate will possess strong communication skills, a passion for business development, and expertise in managing client relationships within a healthcare or therapy services environment. This role involves engaging with prospective clients, understanding their needs, and coordinating intake processes to ensure a seamless experience that promotes growth and client satisfaction.
Principal Duties and Responsibilities:
ST/OT/BT Intake Duties
- Handles ST/OT/BT phone inquiries as well as email including sending enrollment paperwork, obtaining insurance information and routing insurance information to proper place for benefit verification
- Enter all information from initial intake call into EMR system
- Reach out for previous provider records as needed.
- Enter completed enrollment packets into EMR system and follow up with scheduling department as new clients begin services to ensure timely speed to service timelines for evaluations and start of recurring therapy sessions.
- Liaison to parents/caregivers in support of the therapeutic process to include but not limited to: screening request/result review, evaluation questions, benefit/financial inquiries, consent to exchange information with third party providers, assisting families with navigating parent portal etc.
Relationship Manager Duties:
- Initiate outreach and provide first touch point with new schools/centers as well as checking in regularly with current schools/centers to promote consistent referral network for all MTC services.
- Communicate scheduling updates with schools/centers/families/therapists on new enrollments and seasonal/holiday/illness scheduling changes.
- Quarterly outreach to affiliated schools/centers to determine schedule restrictions for all multidisciplinary clients.
- Attend Back to School Nights/Open House/Meet and Greet upon request of schools to offer a face and connect the community to MTC’s full range of services
- Maintain MTC School/Center Directory of locations multidisciplinary services are provided.
- Primary point of contact for all dispute and resolutions between parent/caregiver, school/childcare personnel and MTC multidisciplinary services.
Multidisciplinary Data Analysis Duties:
- Assist in updating data in multidisciplinary and ABA EMR system for accurate reporting and forecasting measures.
- Weekly monitoring and entry of client information in regards to client location, audits of maintaining consistent scheduled sessions based on recommended clinical frequency to ensure client optimization, scheduling efficiency and visit limit/co treat caps.
- Weekly audits and follow up with all multidisciplinary staff on securing timely coding and completion of their daily notes as well as evaluations/assessments.
- Conduct weekly productivity review of therapists (ST/OT/BT) schedules -forecast vs actuals
Experience
- Proven experience with healthcare Intake process.
- Proven experience in B2B sales, business development, or account management within healthcare, therapy services, or related fields.
- Strong negotiation skills with a track record of closing deals and fostering long-term relationships.
- Familiarity with CRM platforms for managing client data and intake pipelines.
- Excellent communication skills with the ability to effectively engage diverse client base through warm calling and professional correspondence.
- Demonstrated ability to analyze market data, identify opportunities, and develop strategic outreach plans.
- Experience in marketing within a healthcare setting is advantageous but not mandatory.

Pay: $60,000.00 - $70,000.00 per year
