Position Summary
We are seeking an organized, detail-oriented Maintenance Administrator/Coordinator to coordinate maintenance operations for a multifamily apartment community. This role serves as the central point of communication between residents, maintenance staff, vendors, and management to ensure work orders, inspections, vendor services, and preventative maintenance are completed efficiently, professionally, and with strong resident satisfaction.
Key Responsibilities
- Receive, prioritize, schedule, track, and close resident work orders within established response standards.
- Communicate maintenance timelines, follow up on completion, and address resident concerns professionally.
- Inspect apartment homes, vacant units, common areas, amenities, exteriors, and curb appeal; coordinate corrective action.
- Coordinate vendor services, contractor work, supplies, preventative maintenance calendars, and inspection schedules.
- Track recurring issues, repair costs, warranties, service contracts, utilities, equipment records, and maintenance trends.
- Support emergency response, safety compliance, budget preparation, property improvement projects, and company standards.
- Assist with recruiting, onboarding, training, staffing recommendations, and maintenance team performance oversight.
- Able and willing to pitch in and assist with repairs when needed.
Qualifications
- Experience in multifamily property management, facilities management, maintenance administration, or a related field preferred.
- Strong organization, time management, communication, customer service, leadership, vendor coordination, budgeting, and problem-solving skills.
- Ability to manage multiple priorities and use property management, maintenance, Microsoft Office, and recordkeeping systems.
- Knowledge of general maintenance practices, building systems, and preventative maintenance preferred; valid driver’s license and reliable transportation preferred.
- Proven knowledge and experience with AC repair.
