What are the responsibilities and job description for the Onboarding Coordinator position at MMD Services?
Our client is a global hotel brand embarking on a large-scale product rollout across their portfolio of properties. This is a full-time role that requires 2-3 days onsite attendance at their corporate Chicago Loop office.
They are seeking an Onboarding Coordinator to lead the end-to-end coordination of their product roll out initiative serving as the connective tissue between internal teams, regional stakeholders, and the hotel properties themselves.

Success here means hotel teams feel informed, prepared, and supported at every stage and that the right stakeholders are engaged, aligned, and set up to champion adoption on the ground. The right person for this role thrives in a structured but dynamic environment, knows how to build trust quickly across different levels of an organization, and takes genuine ownership of the experience they deliver.
What You'll Do:
Working closely with internal teams, regional leaders, and end users at the property level, the Onboarding Coordinator will drive a consistent, high-quality onboarding experience across each wave of hotels. Day to day, that looks like:
- Working with internal teams each wave to confirm the hotel list, gather the right contacts, and get distribution lists in order
- Keeping regional and portfolio leaders aligned on wave selections, handling substitutions, and making sure no one is caught off guard
- Sending launch communications to hotels and above-property teams timelines, expectations, and what comes next
- Scheduling and facilitating onboarding sessions and Q&As across time zones, including support for key roles like Engagement Champions
- Being the main point of contact for hotel questions during onboarding, with extra 1:1 support for properties that need it
- Tracking progress across each wave- attendance, open issues, missing contacts and following up until things are resolved
Role Requirements:
- 3 years of experience in a coordination, project management, or operations role
- Strong stakeholder management skills - comfortable working with both hotel-level teams and above-property or corporate contacts
- Experience coordinating and facilitating training sessions or onboarding programs
- Excellent written and verbal communication skills, with the ability to tailor messaging to different audiences
- Highly organized with strong attention to detail and the ability to manage multiple workstreams at once
- Comfortable working across time zones, including occasional early or late calls to cover Asia Pacific
Preferred Qualifications:
- Background in hospitality or experience working with hotel properties
- Bachelor's Degree
- Familiarity with rollout or change management processes
- Experience building and maintaining distribution lists and contact databases

Salary : $80,000 - $120,000
