The Position
We seek a smart, enthusiastic, intellectually curious, responsible, and committed individual to support our San Francisco office. This person will be part of our Operations and Facilities team, helping to shape a positive and functional work environment by overseeing daily operations and administration, and leading workplace culture.
The ideal candidate is a self-starter who takes initiative and is excited to contribute to a growing and dynamic office. They find satisfaction in organization, meticulous file management, and completing detailed administrative tasks. Position is in-person at our beautiful Ocean Beach office with occasional opportunities to work from home.

Responsibilities
Facilities Management
- Ensure spaces and technology are operational and tidy
- Coordinate maintenance and repairs
- Manage small facilities projects
- Maintain security systems
- Oversee facilities vendors and track orders
- Occasional weekend hours may be required to oversee maintenance vendors
- Maintain operations protocols
- Maintain digital and physical filing systems
- Review billing and invoicing
- Maintain and track business calendar and filings
- Oversee operations vendors
- Maintain office calendar
- Provide regular updates on facilities and operations
- Support recruiting and onboarding
- Provide additional administrative support as needed
- Curate and organize team building events
- Organize staff and leadership meetings
- Maintain holiday and PTO calendar
Required Skills and Abilities:

- Familiarity with architecture industry and design tools is helpful but not required.
- Strong eye for graphic design preferred
- Strong interpersonal skills

Demonstrated interest in at least two of the following:
- Business operations
- Facilities management
- Project Management
- Interior, Visual Merchandising, or Graphic Design
- The psychology of human behavior in the built environment.
- A bachelor's degree in a business, communications, marketing, information science, architecture, interior architecture
- Experience in an architectural office a plus.
- Experience in a small business environment is preferred.
- Some experience managing events and projects
- Experience as an executive assistant a plus
