Key Responsibilities:
- Provide day-to-day administrative support to the department, including calendar management, meeting coordination, and logistical planning.
- Schedule team meetings, prepare agendas, track follow-ups, and ensure meeting materials are distributed in advance.
- Coordinate domestic and international travel arrangements using Concur, including flights, accommodations, and itineraries.
- Draft, edit, and format correspondence, presentations, and reports using Google Workspace (Gmail, Docs, Sheets, Slides).
- Maintain team calendars and assist with prioritization of meetings and deadlines.
- Track and manage team expenses, assist with invoice processing, and maintain accurate records.
- Assist in organizing team events, offsites, and internal communications.
- Maintain department files and documentation in an organized and confidential manner.
- Provide backup and cross-coverage support for other administrative staff when needed.
- 3-5 years of administrative support experience in a corporate or financial services environment.
- Excellent communication skills (both verbal and written).
- Proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets, Slides) — required.
- Experience using Concur or other travel/expense management platforms.
- Excellent organizational, time management, and multitasking skills.
- Strong communication skills and a proactive, can-do attitude.
- High level of discretion and professionalism in handling sensitive and confidential matters.
- Fluent in Spanish (written and spoken)
- Experience supporting teams in financial services, banking, or global organizations.
- Familiarity with internal collaboration tools (WebEx, GoogleMeet, etc)
Salary : $30 - $40
