Job Title: Team Administrative Assistant
Location: NYC

Overview:
Our Client, a leading INternational Bank, is seeking a detail-oriented and proactive Team Administrative Assistant to support a
high-performing department. This role will provide comprehensive administrative and operational support to a team of professionals, ensuring seamless coordination across schedules, meetings, travel, and reporting. The ideal candidate thrives in a fast-paced,
collaborative environment and brings strong organizational skills, discretion, and bilingual fluency in Spanish and English.

Key Responsibilities:
  • Provide day-to-day administrative support to the department, including calendar management, meeting coordination, and logistical planning.
  • Schedule team meetings, prepare agendas, track follow-ups, and ensure meeting materials are distributed in advance.
  • Coordinate domestic and international travel arrangements using Concur, including flights, accommodations, and itineraries.
  • Draft, edit, and format correspondence, presentations, and reports using Google Workspace (Gmail, Docs, Sheets, Slides).
  • Maintain team calendars and assist with prioritization of meetings and deadlines.
  • Track and manage team expenses, assist with invoice processing, and maintain accurate records.
Screen incoming calls, emails, and requests; redirect or handle as appropriate to support the team’s efficiency.
  • Assist in organizing team events, offsites, and internal communications.
  • Maintain department files and documentation in an organized and confidential manner.
  • Provide backup and cross-coverage support for other administrative staff when needed.
Qualifications:
  • 3-5 years of administrative support experience in a corporate or financial services environment.
  • Excellent communication skills (both verbal and written).
  • Proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets, Slides) — required.
  • Experience using Concur or other travel/expense management platforms.
  • Excellent organizational, time management, and multitasking skills.
  • Strong communication skills and a proactive, can-do attitude.
  • High level of discretion and professionalism in handling sensitive and confidential matters.
Preferred:
  • Fluent in Spanish (written and spoken)
  • Experience supporting teams in financial services, banking, or global organizations.
  • Familiarity with internal collaboration tools (WebEx, GoogleMeet, etc)
PLease note that this is a Contract position paying $30 - $40 per hour, DOE.
