Our client is an International Bank based in Midtown Manhattan. They are looking for an Executive Assistant to join their trading team on a long-term contract. Fluency in Spanish is required.
Key Responsibilities:
● Provide day-to-day administrative support to the department, including calendar management, meeting coordination, and logistical planning.
● Schedule team meetings, prepare agendas, track follow-ups, and ensure meeting materials are distributed in advance.
● Coordinate domestic and international travel arrangements using Concur, including flights, accommodations, and itineraries.
● Draft, edit, and format correspondence, presentations, and reports using Google Workspace (Gmail, Docs, Sheets, Slides).
● Maintain team calendars and assist with prioritization of meetings and deadlines.
● Track and manage team expenses, assist with invoice processing, and maintain accurate records. Screen incoming calls, emails, and requests; redirect or handle as appropriate to support the team’s efficiency.
● Assist in organizing team events, offsites, and internal communications.
● Maintain department files and documentation in an organized and confidential manner.
● Provide backup and cross-coverage support for other administrative staff when needed.
Qualifications:
● 3-5 years of administrative support experience in a corporate or financial services environment.
● Excellent communication skills (both verbal and written).
● Proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets, Slides) — required.
● Experience using Concur or other travel/expense management platforms.
● Excellent organizational, time management, and multitasking skills.
● Strong communication skills and a proactive, can-do attitude.
● High level of discretion and professionalism in handling sensitive and confidential matters.
Preferred:
● Fluent in Spanish (written and spoken)
● Experience supporting teams in financial services, banking, or global organizations.
● Familiarity with internal collaboration tools (WebEx, GoogleMeet, etc).
