Position Summary
The Service Writer serves as the primary point of contact between customers and the service department. This role is responsible for creating work orders, coordinating repairs, communicating with technicians, and ensuring customers receive clear and timely updates. The Service Writer supports efficient shop operations and delivers excellent customer service.
Customer Service & Communication
- Greeting customers and gather accurate information about equipment issues and service needs.
- Communicate repair recommendations, estimates, and timelines clearly and professionally.
- Maintain ongoing communication with customers regarding job status, approvals, and completion.
- Ensure a positive customer experience from check-in to pick-up.
Work Orders & Documentation
- Open, maintain, and close work orders in the system with accurate details.
- Document customer concerns, technician notes, parts used, labor hours, and final costs.
- Prepare service quotes and obtain customer approval before work begins.
Shop Coordination
- Work closely with technicians to prioritize jobs and ensure efficient workflow.
- Communication parts need to the parts department and track order status.
- Track progress of repairs and update customers as needed.
Administrative & Operational Support
- Answer phones, schedule appointments, and help manage service calendar.
- Maintain organized records and follow company policies and procedures.
- Assist with warranty claims, invoices, and service reporting.
Qualifications
Required
- High school diploma or equivalent.
- Strong communication, organizational, and customer service skills.
- Ability to understand mechanical or equipment terminology (training provided).
- Basic computer skills for data entry and documentation.
Preferred
- Experience in agriculture, equipment dealerships, or mechanical service environments.
- Bilingual (English/Spanish) is a plus.
- Knowledge of work order systems or shop management software.
Work Environment
- Fast-paced service department handling agricultural and industrial equipment.
- Requires interaction with customers, technicians, parts staff, and management.
- May require walking through the shop and occasionally assisting with equipment check-in.
Physical Requirements
- Ability to stand, walk, or sit for extended periods.
- Ability to lift up to 25 lbs occasionally.
- Comfortable working around machinery and shop environments.
