What are the responsibilities and job description for the Office Administrative Assistant position at Mist Works?
Overview
Full-time position with seasonal demands (including limited time off during the hot months) that can make the job extremely busy at times (when it’s hot outside, we are busy!)
This is a fast-paced environment (not an executive setting, we are a casual service/manufacturing company), this is not an entry level position - we will train for our industry but you must have the office experience and skills and be able to multi-task – really multitask.
Ideal candidate is a quick learner / retainer of info, problem solver and has experience in service / commercial sales type company (electrical, plumbing, construction, etc.) or have trade industry background. Member will be expected to learn quickly and become knowledgeable about our products and services.
Each day will be different, it isn't everything listed every day, but duties may include:
- Excellent ATTENTION TO DETAIL& ACCURACY (required!)
- Create estimates and orders, create pick tickets
- Will learn shipping-getting rate quotes and booking shipments
- Processing orders
- Answering phone calls, checking emails
- Estimating, Invoicing, A/R
- Information gathering and follow up
- Entering accounts payable invoices, auditing for accuracy
- Client Communication, via email, phone, letters and text.
- Clerical work. Including scheduling service calls, scanning, data entry, scheduling
- QuickBooks (manufacturing version preferred), Microsoft Office programs, Outlook, Outlook Calendar, Excel, Word
- Google Maps / routing apps for routing service calls for technicians
- Prefer some marketing and market research experience but not required
Experience Desired
- general office: 10 years (Preferred)
- Accounts receivable: 3 years (Preferred)
- Schedule management: 1 year (Preferred)
- Quickbooks: 3 years (Required)
- Microsoft Outlook: 5 years (Required)
- Microsoft Excel: 5 years (Preferred)
- Experience in customer service or customer support roles demonstrating excellent communication skills
- Ability to prioritize tasks effectively with strong time management skills
