RECEPTIONIST JOB SUMMARY:
The Receptionist at Mission Ridge Ski & Board Resort plays a crucial role in creating the first and lasting impression for all guests. Serving as the front-line representative, the Receptionist is responsible for providing exceptional customer service, managing inquiries through phone, email, and walk-in interactions, and offering administrative support across multiple departments. This position requires a warm, professional demeanor, strong organizational skills, and the ability to thrive in a dynamic, fast-paced environment. The ideal candidate is dependable, communicative, and able to work overtime, weekends, and holidays. In addition to guest-facing duties, this role is vital in supporting internal operations and fostering clear communication across departments.
ESSENTIAL JOB RESPONSIBILITIES/DUTIES/TASKS:
- Phone System Management: Answer a multi-line phone system, transfer or screen all incoming calls, take messages when necessary, and ensure timely delivery to the appropriate recipients.
- Email Response: Respond promptly and professionally to guest emails, addressing inquiries, requests, and concerns.
- Email System Oversight: Maintain the resort's email system by organizing communications and directing them appropriately.
- Guest Greeting: Greet guests with a friendly and positive attitude; answer general questions or direct them to the appropriate department.
- Office Supply Management: Track and manage inventory of office supplies and place orders as requested by all departments.
- Lost & Found: Maintain a current list of Lost and Found items and ensure proper return to guests.
- Claims Handling: Receive and document damaged item claims, and direct them to the Administration Department.
- Donations: Collect and process donation requests efficiently.
- Document Management: Generate correspondence, create form documents, and manage digital filing systems.
- Data Entry: Perform data entry tasks for multiple departments including Accounting, Marketing, Skier Services, Mountain Operations, Base Operations, and Administration.
- Mail Processing: Operate postage meter and handle bulk mailings for department managers or administration.
- Voicemail System: Maintain and train staff on the resort's voicemail system.
Work Environment: Keep the administration area clean and organized. - Departmental Support: Assist multiple departments with various administrative projects as needed.
SKILLS PREFERRED:

- Technical Proficiency: Extensive knowledge of MS Word, Excel, Access, and Outlook.

- Adaptability: Ability to work efficiently in a busy, fast-paced environment and remain calm under pressure.

- Dependability: Must be reliable and able to work overtime, weekends, and holidays as required.
EDUCATION/EXPERIENCE:
High school diploma or equivalent required. A minimum of two years’ experience as a receptionist or comparable administrative role is preferred. Must have extensive working knowledge of Google Workspace (Docs, Sheets, Slides, Drive, Gmail, and Calendar).
PHYSICAL DEMANDS:
This position requires regular use of a computer, phone system, and office equipment. The Receptionist must be able to sit or stand for long periods, perform data entry, manage email and calls, and move around the office as needed. Manual dexterity and visual acuity are essential for handling office tasks, typing, and filing. Clear hearing and speech are required to communicate effectively with guests and staff.
WORK ENVIRONMENT:
The Receptionist works primarily indoors in a professional office environment located within the resort. The workspace is shared with administrative team members and is fast-paced, particularly during peak season. The role may involve interactions with guests in-person, via phone, or by email, and requires consistent professionalism and confidentiality. Mission Ridge maintains a drug- and alcohol-free workplace and is a non-smoking facility. Weekend, holiday, and overtime work may be required during peak periods or special events.
