Summary:
The Logistics Coordinator plays a critical role within the Project Support Team, ensuring the efficient, accurate, and timely management of all project-related materials, equipment, and resources. This position is the central point of coordination for all logistical movements, from initial procurement support to final delivery and inventory reconciliation, directly contributing to the on-time and on-budget success of our Integrated Solutions projects.
To be successful in this position you will have a demonstrable track record in heavy equipment, specifically super-load logistics nationwide. You will likely have an established set of relationships with vendors and work in heavy equipment manufacturing or logistics. We are also interested in applicants who are have logistics or international shipping vendor experience. This multi-disciplined team operates as a collective, with high levels of trust, integrity and collaboration, the successful candidate will be a subject matter expert and effective team player.
Logistics Management
- Coordinate all inbound and outbound shipments for project materials, components, and tools, utilizing the most cost-effective and time-efficient methods.
- Serve as the primary liaison with carriers, freight forwarders, customs brokers, and third-party logistics (3PL) providers.
- Track and trace all shipments, providing regular, detailed updates to Project Managers and relevant stakeholders.
- Manage and process necessary shipping documentation, including Bills of Lading (BOLs), commercial invoices, packing lists, and international customs paperwork, ensuring full compliance.
- Expedite critical shipments as needed to meet aggressive project timelines and mitigate potential delays.
Inventory and Resource Management
- Assist in establishing and maintaining accurate inventory records for project-owned and rented equipment in conjunction with the Inventory Control team.
- Coordinate the proper staging, inspection, and preparation of equipment and materials prior to shipment.
- Oversee the return logistics for surplus or leased equipment post-project completion.
Procurement and Administrative Support
- Collaborate closely with the Procurement Team to ensure materials are ordered and delivered according to project specifications and timelines.
- Review, verify, and process invoices from logistics providers for accuracy against quotes and services rendered.
- Maintain comprehensive electronic and physical files for all logistical transactions, contracts, and documentation.
Communication and Reporting
- Develop and distribute weekly/daily logistics status reports, highlighting potential risks, delays, or cost overruns.
- Main point of contact for internal teams (Project Management, Engineering, Field Operations) regarding the status and location of all project materials.
- Participate in project planning meetings to provide logistical input and help define realistic schedules.

Requirements:
Required Knowledge/Experience:
- High school diploma or equivalent; Associate's or Bachelor's degree in Supply Chain Management, Business Administration, related field, or equivalent experience.
- Minimum of 2-4 years of experience in a logistics, supply chain, shipping/receiving, or project coordination role, preferably within a fast-paced, project-driven environment (e.g., construction, technology, engineering).
- Proficiency in logistics software, Enterprise Resource Planning (ERP) systems (e.g., SAP, Oracle), and Microsoft Office Suite (especially Excel).

Strong knowledge of domestic and international sh
ipping regulations, freight classifications, and incoterms. - Experience in the mission-critical, data center, or complex technical services industry preferred.
- Certification in Logistics, such as Certified Supply Chain Professional (CSCP) or Certified Logistics Professional (CLP).
- Ability to manage multiple shipments and complex documentation simultaneously with high attention to detail.
- Proactive and resourceful approach to quickly resolving shipping issues and logistical roadblocks.
