Job Description:

Billy Burke World Outreach is looking for a skilled Receptionist and Administrative Assistant to perform a variety of tasks to support the day-to-day operations of the ministry. This role will answer incoming phone calls and emails, organize hard copies of all prayer requests, testimonies, and general ministry inquiries, as well as perform data entry, conduct research, handle confidential information, exercise judgment and discretion in completing special assignments. This position works as a member of the BBWO team to provide information, support initiatives, streamline processes for growth as directed.

Primary Reception Responsibilities:

  • Receive and respond appropriately to ministry queries via phone, email and mail correspondence;
  • Transfer calls as necessary, and ensure messages are passed to the appropriate staff member;
  • Receive, sort distribute and dispatch daily mail;
  • Assist with transcriptions, printing, scanning, photocopying and faxing;
  • Greet office visitors and volunteers as needed;
  • Maintain safety and cleanliness standards of the office reception area;
  • Maintain a good attitude towards ministry partners and friends on and off the phones and actively contribute to a good work environment;
  • Perform other tasks as needed by the ministry.

Primary Administrative Responsibilities:

  • Provides administrative, technical and prayerful support to the BBWO staff;
  • Handle all incoming correspondence (email, USmail, etc.) and direct it to the proper area for response. Discern and respond to correspondence, phone calls, etc. with minimal input or supervision;
  • Able to operate standard office equipment such as computers, fax machines, copiers, telephones, and other office equipment.
  • Accurately record prayer requests, testimonies and other correspondence from BBWO partners and friends into a computer database or excel spreadsheet;
  • Keep confidential the content of correspondence following departmental and privacy guidelines;
  • Assist with mail outs, product orders and other fulfillment as needed;
  • Update contact profiles within the database as needed.

Job Qualifications:

Experience

  • High School graduate or equivalent;
  • Minimum 3 years administrative experience;
  • Must have experience with Microsoft Office suite (Outlook, Word, Excel, PowerPoint).

Skills & Abilities

  • Must be detail oriented and able to maintain focus during extended periods of repetitious data entry;
  • Must have excellent verbal and written communication skills;
  • Must have excellent reading comprehension;
  • Must be able to use a computer workstation with dual monitors and be familiar with email and internet use;
  • Must be able to complete tasks with minimal supervision;
  • Able to handle sensitive and confidential information;

Physical Demands

  • Able to sit at a workstation for several hours at a time;
  • Able to lift up to 20 pounds;
  • Candidates may be asked to take a typing assessment prior to hiring;
  • Able to operate standard office equipment such as computers, fax machines, copiers, telephones, and other office equipment.

  • Available to attend and serve at BBWO Events and Healing Services is preferred.

Schedule:

M-F 8:00am to 4:00pm EST

Some weekends and evening hours may be required.

Location:

This position will be in-person at BBWO Office Headquarters in Tampa, FL.

Compensation:

Negotiable; pay will commensurate with experience.
